Position Overview

We are seeking a highly capable, proactive, and analytically minded Executive Operations Partner to support the CEO in both day-to-day executive operations and broader business initiatives across the organization.

This role is designed for a professional who can operate as a true extension of the CEO — balancing high-level executive support with operational coordination, cross-functional follow-through, and strategic project support. The position combines elements of executive partnership, business operations, and emerging Chief of Staff responsibilities.

The ideal candidate is highly organized, business-oriented, discreet, adaptable, and capable of managing competing priorities in a fast-paced, entrepreneurial environment. This individual must be able to anticipate needs, exercise sound judgment, communicate effectively across all levels of the organization, and help reduce executive cognitive load by driving organization, prioritization, and follow-through.

This role is intended to evolve over time into a broader operational and strategic support function as trust, business knowledge, and organizational responsibility increase.


Key Responsibilities

Executive Partnership & CEO Support

  • Manage and prioritize a high-volume CEO inbox, including email triage, drafting responses, and ensuring timely follow-up
  • Coordinate and manage a dynamic and frequently changing executive calendar
  • Prioritize competing requests and protect CEO time by aligning scheduling with business priorities
  • Prepare meeting agendas, briefing materials, summaries, and follow-up action items
  • Coordinate domestic and international travel arrangements, itineraries, and logistics
  • Handle highly confidential business and personal information with discretion and professionalism
  • Serve as a liaison between the CEO and internal/external stakeholders


Operational Coordination & Business Support

  • Track and help drive follow-through on key initiatives across development, construction, architecture, accounting, and asset/property management teams
  • Assist leadership in prioritizing projects, deadlines, and operational initiatives
  • Prepare executive dashboards, status summaries, and business reporting materials
  • Support cross-functional communication and coordination among departments
  • Identify operational inefficiencies and assist with process improvement initiatives
  • Help organize and streamline information flow to improve executive decision-making


Strategic & Chief of Staff Development Responsibilities

  • Support special projects and strategic initiatives directed by the CEO
  • Assist in monitoring organizational priorities and ensuring accountability across teams
  • Participate in operational planning and leadership coordination efforts
  • Gradually assume increased responsibility in executive operations and organizational support over time
  • Help evaluate and implement tools, systems, and AI-enabled solutions that improve reporting, workflow efficiency, and communication


Qualifications

Required

  • Bachelor’s degree or equivalent professional experience
  • 10 years of executive support, operations, project coordination, or related experience
  • Experience supporting senior executives or leadership teams in fast-paced environments
  • Exceptional organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Ability to manage sensitive and confidential information with sound judgment
  • Strong prioritization and follow-through capabilities
  • High level of professionalism, adaptability, and discretion
  • Advanced proficiency with Microsoft Office and/or Google Workspace


Preferred

  • Experience in construction, real estate development, property management, architecture, or related industries
  • Exposure to executive operations, strategic planning, or cross-functional business coordination
  • Experience preparing executive-level reports, dashboards, or presentations
  • Familiarity with project tracking, operational reporting, or business analytics
  • Exposure to workflow automation, AI tools, or process improvement initiatives

Compensation

Competitive base salary plus bonus and benefits package, commensurate with experience. Range:  $125,000-$225,000


Ideal Candidate Profile

This is not a traditional administrative assistant role. We are seeking a highly capable executive partner who can balance hands-on executive support with operational coordination and business initiative support.

The ideal candidate is:

  • Highly organized and detail-oriented
  • Able to communicate confidently with executives and stakeholders
  • Interested in growing into broader operational or Chief of Staff–type responsibilities over time
  • Candidates with backgrounds supporting founders, CEOs, construction executives, real estate leadership teams, or operationally focused organizations are strongly preferred.

Salary : $125,000 - $225,000
