MATERIALS MANAGEMENT COORDINATOR

Summary/Objective:

                Responsible for the purchasing of all goods and services for the Hospital District.  Conducts purchasing needs analysis with the hospital management team.  Helps in the development of policies and procedures for materials management and makes formal recommendation on capital expenditure purchases, initiates and maintains outside vendor contacts to evaluate pricing terms, arrange discounts, make contract recommendations prior to signed negotiations, solicit bids, and maintain adherence to product quality standards.

 

Essential Functions:

  1. Plans and organizes purchasing functions of goods and services for the Hospital District.  Conducts all business in accordance with the Sweeny Community Hospital Compliance Manual.
  2. Manages hospital supply resources timely, effectively, ensuring good stewardship of resources.  Receives products checking for accuracy and damages.  Pro-actively addresses errors or defects.  Follows-up on credit memos, incomplete, or unfilled orders.  Manages stock to minimize expired or obsolete product losses.
  3. Maintains accurate inventory and PO log.  Delivers requested stock and maintains par level in hospital departments weekly.  Develops and implements strategies to enhance timely, accurate, and cost-effective distribution, minimize cost of utilization, and reduce inventory while ensuring availability of quality supplies, equipment, and minimizing expirations and shortages.
  4. Conducts purchasing needs analysis with the hospital management team.  Monitors all contract (First Choice, Amerinet & VHA) changes.  Actively seeks better pricing opportunities for the Hospital District.  Initiates and maintains outside vendor contracts to evaluate pricing terms, arrangement discounts.  Solicit product bids and makes contract recommendation to Hospital District leadership while assuring adherence to product quality standards.
  5. Assists in the development of policies and procedures for materials management
  6. Monitors cost containment goals of the Hospital District.  Provides statistical reports of purchasing activities on a periodic basis or as requested
  7. Educates hospital team regarding purchasing practices, trends, and methods of cost control
  8. Makes formal recommendations on capital purchases to chief financial officer

Communication proficiency – must communicate effectively and professionally both orally and in writing to fellow hospital team members as well as vendors.

Ethical Conduct – Individual must exhibit ethical conduct in all aspects of the position.  Individual must have a previous work history free of any unethical performance concerns.

Flexibility – Individual must exhibit flexibility to address STAT order requests, regardless of other obligations or time of day.  Individual must be willing to address urgent needs promptly with a helpful, friendly attitude.

 

Supervisory Responsibility:

This position has no supervisory responsibilities.

 

Work Environment:

This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, fax machines, and other equipment as needed.

While performing the duties of this job, the employee is regularly required to talk and hear.  Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. This position requires on-going physical activity.  Duties regularly require standing, walking, bending, kneeling, stooping, pushing, pulling and crouching as well as lifting and/or moving up to 50 lbs.

 

Position Type/Expected Hours of Work

This is a part-time/ as needed position, and hours may vary. Core hours of work are Monday through Friday 8am-4:30pm per day with minimal overtime.

Travel needs are infrequent for this position

 

Required Education, Experience and License

High School diploma or equivalent.

 

Preferred Education, Experience and License

3 years experience in healthcare materials management is preferred.

 

Additional Eligibility Qualifications

Must have excellent computer software and telephone communication skills.
