THE OPPORTUNITY


We are looking for a Client Experience and Finance Coordinator who thrives at the intersection of customer service and financial operations. This is a dual-function role: you are the first voice clients hear when they call, the creative consultant who helps them find the right swag, and the detail-oriented professional who keeps invoices moving and accounts in order.


This role is not for someone who wants to do one thing all day. It is for someone who loves variety, takes ownership, and genuinely enjoys making clients feel like the only client in the room.

WHAT YOU WILL DO


Customer Service & Client Experience

•   Serve as the primary point of contact for inbound client inquiries via phone, email, and in-person

•   Intake new orders, gather project details, and set clear expectations on timelines and deliverables

•   Prepare accurate, compelling quotes that translate client goals into promotional product solutions

•   Provide expert product guidance: you will learn our catalog inside and out and become a trusted resource for clients navigating their options

•   Handle client concerns professionally and proactively, turning challenges into opportunities to build loyalty

•   Document all client interactions, order details, and follow-ups in our CRM system, keeping records current and complete

•   Support the business development team with presentations, proposals, and materials for prospective clients

•   Build genuine, lasting client relationships that drive repeat business and referrals


Finance & Billing Operations

•   Send invoices to clients promptly and accurately upon order confirmation and delivery milestones

•   Manage accounts receivable: track outstanding balances, follow up on overdue payments, and reconcile accounts

•   Process incoming payments and post transactions to the appropriate accounts

•   Support accounts payable functions including bill entry, vendor invoice verification, and payment preparation

•   Provide day-to-day financial administrative support to the finance team

•   Maintain organized, accurate financial records that hold up to scrutiny


WHAT THIS ROLE IS NOT

To set you up for success from day one, here is what falls outside this role:


•   Operations or production management

•   Vendor sourcing, negotiation, or relationship management

•   Decoration, fulfillment, or warehouse functions


If you love working directly with people, managing the financial side of those relationships, and solving creative problems, this role was built for you.


QUALIFICATIONS

Required Experience and Skills

•   2 years of experience in a customer service, sales support, or account coordination role

•   Experience with basic accounting or billing functions (invoicing, AR/AP, payment processing)

•   Proficiency in Microsoft Office Suite, particularly Excel and Outlook

•   Familiarity with CRM platforms and/or order management systems

•   Strong written and verbal communication skills

•   Demonstrated ability to juggle multiple priorities without dropping the ball on the details


Nice to Have

•   Experience in promotional products, branded merchandise, print, or a related industry

•   Exposure to QuickBooks or similar accounting software

•   Background in B2B customer-facing roles

WHAT WE OFFER

•   Salary range of $60,000 to $70,000 annually, based on experience
