Job Description – This is a Hybrid position with occasional coordination across multiple job sites and time zones.
Operations Coordinator
The Operations Coordinator plays a critical role in supporting construction operations by coordinating job staffing, travel logistics, project tracking, and workforce readiness. This position serves as the central point of coordination between construction management, field leadership, safety/code management, and office administration to ensure projects are staffed, organized, and executed efficiently.
Responsibilities
- Coordinate job staffing and crew lineups for projects using established employee rosters and direct communication with field personnel
- Work closely with the Construction Manager and Superintendents to staff projects based on trade needs and required skill sets
- Ensure crew sizes align with project estimates to support cost efficiency and labor planning
- Reserve and manage lodging, airfare, and rental vehicles for field crews
- Set up travel and lodging arrangements as early as possible (preferably at time of PO or job award)
- Distribute travel itineraries to crews promptly, including partial crews when applicable, and update details as needed
- Maintain all travel and lodging details in an organized electronic format accessible to the project team
- Maintain an organized, electronic project board or “whiteboard” with checklists and task tracking for active projects
- Update project tasks daily to reflect current status and completed items
- Coordinate with the Safety Manager and Code/Weld Manager when safety or compliance-related items are required, including drug testing, background checks, job-specific safety training, and weld testing
- Communicate all testing, training, and certification details to crew members in a clear and timely manner
- Note: Safety and Code Managers are responsible for setting up testing and training; the Administrative Coordinator is responsible for coordination and communication
- Work in conjunction with office administration to support daily operations
- Perform other duties as assigned by management
This position reports directly to the Construction Manager and works collaboratively with superintendents, safety/code leadership, and office administration.
Requirements
Candidate Requirements
- Strong organizational skills with the ability to manage multiple projects and priorities simultaneously
- Excellent written and verbal communication skills
- Experience coordinating travel, lodging, or workforce logistics preferred
- Familiarity with construction, industrial, or field-based operations strongly preferred
- Proficiency with Microsoft Office (Outlook, Word, Excel); experience with project tracking or task management platforms is a plus
- Ability to work independently while supporting fast-paced construction operations
- Strong attention to detail and follow-through
- Hours may extend to nights and weekends as needed
- Ability to work with multiple departments and divisions within the SVI Bremco umbrella
