Purpose
The Payroll and Accounts Payable Specialist is responsible for managing all aspects of payroll processing and accounts payable operations to ensure accurate, timely, and compliant financial transactions. This role includes processing employee timesheets and payroll data, calculating wages, issuing tax forms, managing vendor payments, and supporting billing and collections activities. The specialist also provides general accounting support and serves as a key point of contact for payroll-related inquiries. This position is full-time and reports to the Accounting Manager.
What You Will Do:
As the Payroll and Accounts Payable Specialist, you will support the firm’s financial operations by ensuring payroll accuracy, maintaining organized financial records, and managing payables and collections. Key responsibilities include:
Payroll Processing & Compliance
· Maintain payroll data and operations in accordance with company policies and procedures.
· Review and process employee timekeeping information for all staff.
· Calculate wages based on hours worked, including leave and overtime.
· Investigate and resolve payroll discrepancies and respond to employee payroll inquiries.
· Prepare and submit payroll reports to the Accounting Manager or HR Manager.
· Serve as the primary contact for payroll system needs and reporting using ADP.
· Issue W-2 forms and prepare 1099 forms in compliance with regulatory requirements.
Accounts Payable & Expense Management
· Process accounts payable invoices, expense reports, and related data entry.
· Assemble, review, and verify invoices for payment accuracy and approval.
· Obtain and clarify necessary information related to invoice pricing, items, and authorizations.
· Process weekly vendor payments and ensure timely imaging and filing of supporting documentation.
· Maintain organized records of vouchers, invoices, and correspondence.
Billing, Collections & Accounting Support
· Prepare and distribute reminders and past-due statements to clients.
· Contact clients regarding overdue accounts and assist with collections efforts.
· Support billing and collections activities as needed.
· Serve as backup for Accounts Receivable functions.
· Organize and maintain financial records using computerized accounting, billing, and payables systems.
Administrative & Operational Support
· Operate office equipment including computers, scanners, copiers, and calculators.
· Maintain regular communication with attorneys and staff regarding financial matters.
· Perform additional accounting and administrative duties as assigned.
Qualifications
· High school diploma or equivalent required.
· Minimum of 3 years of related experience, particularly in payroll and/or accounting processes.
· Working knowledge of ADP required.
· Computer proficiency with strong typing skills.
· Basic math skills required; bookkeeping or accounting experience preferred.
· Strong organizational, interpersonal, and communication skills.
· Ability to manage time-sensitive tasks with frequent interruptions.
· Proven ability to maintain employee and client confidentiality.
· Ability to work independently, exercise good judgment, and collaborate effectively in a team environment.
· Ability to perform duties with minimal supervision.
