Administrative Coordinator - Energy Sovereignty

Position

  • Reports to: Energy Director

Job Summary

The Energy Sovereignty Administrative Coordinator supports the coordination efforts of the Molokai Clean Energy Hui (MCEH or Hui) and the implementation of the Molokai Community Energy Resiliency Action Plan (CERAP). This role requires strong communication and organizational skills, the ability to grasp and clearly communicate complex processes, and a deep commitment to working alongside and advocating for the Molokai community.

Essential Duties & Responsibilities

  • Collaborate with the Energy Director to manage the Renewable Energy Program, including strategic planning, implementation, and strengthening of community partnerships.
  • Lead planning and facilitation of community engagement sessions to gather qualitative input, increase energy literacy, and co-design projects for the Molokai Community Energy Resilience Action Plan (CERAP).
  • Coordinate and co-facilitate in-person and virtual Molokai Clean Energy Hui (MCEH) meetings, focus groups, workshops, and events with community stakeholders and partner organizations.
  • Execute and manage meetings, including invitations, zoom meeting preparations and coordination.
  • Utilize Google documents for note-taking, formatting, summaries, action items and distribute as needed.
  • Manage action items follow-ups and project tracking.
  • Attend, participate, and note-take for pertinent meetings with staff, consultants, the community, etc.
  • Uphold Hui protocols by coordinating transparent communication and documentation of MCEH meetings, decisions, and actions.
  • Support the growth of Hui membership and leadership development through documentation and internal coordination structures.
  • Support grant writing, submission, reporting, and compliance in coordination with the Energy Director and Grants Manager; track budgets, deliverables, and regulatory requirements.
  • Track and follow up on action items and project timelines to ensure accountability and steady progress toward community energy goals.
  • Manage all aspects of meeting logistics: scheduling, invitations, Zoom setup, technical support, and coordination with facilitators and partners.
  • Utilize Google Workspace tools for detailed note-taking, meeting summaries, action item tracking, and document distribution.
  • Represent the Hui at energy-related community meetings and events across Molokai and occasionally on neighbor islands as an active participant and organizer.
  • Oversee Hui Up program, including working with Hawaii State Energy Office and relevant partners to facilitate community appliance distribution.
  • Perform additional duties based on program needs, team priorities, and individual skills and interests.

  • Deeply rooted in the Molokai community with a strong commitment to the vision of ʻĀina Momona (a thriving, abundant land and community).
  • Proven project management skills, with the ability to juggle multiple tasks and deadlines while maintaining attention to detail.
  • Technologically proficient with reliable internet access; adept in Zoom, Google Workspace (Docs, Sheets, Forms, Drive), Dropbox, and Microsoft Office applications.
  • Flexible and positive mindset, dedicated to strengthening the resilience of both the organization and the broader island community.
  • Willingness and capacity to work flexible hours, including evenings or weekends as needed.
  • Ability to work independently with minimal supervision while thriving in a collaborative team environment alongside partners and community stakeholders.
  • Creative and adaptable problem-solver, capable of navigating dynamic challenges with resourcefulness and innovation.
