Position Title: Business Office Associate Level I
Facility Department: Business Office/Administration
Position reports to: Assistant Administrator
Position Summary: Under the direction of the Assistant Administrator greets, checks patients in and out of the ambulatory surgery center (ASC), manages the telephones, prepares charts, informs patients of the financial policy, collects patient co-payments and/or deductibles for the services rendered, issues cash receipts. Works with Business Office Associate Level II and Senior Business Office Associate to ensure patient authorization information is accurate. Must exhibit outstanding customer service attitude at all times. Is accountable to establish benchmarks and performance standards as applicable to duties performed. A combination of duties related to record keeping including, but not limited to the creation, maintenance, preparation of medical records for storage filing and retrieving of medical records, ensures medical records are complete, conducts medical record audits and assisting in the assurance that all records are kept in accordance with Accreditation Association for Ambulatory Health Care standards and government rules and regulations.
Qualifications Requirements:
Minimum Education/ Training / Licensure / Certifications:
- High school graduate or equivalent
Minimum Experience:
- Knowledgeable with medical terminology
- Computer skills
- Medical record familiarity
Preferred Experience:
- Two (2) years of experience in a medical office, clinic or other healthcare setting preferred.
- One (1) year of experience with medical records.
Knowledge, Skills and Abilities:
- Ability to answer telephones courteously.
- Ability to anticipate tasks and prioritize assignments.
- Ability to maintain highly sensitive, confidential material.
- Ability to read, write, speak and understand English.
- Ability to input data into computer system.

POSITION ACCOUNTABILITIES
Essential Functions
- Answers and screens phone calls.
- Processes subpoenas, court orders and routine request for records. Verifies accuracy of patient information.
- Reviews incoming requests for patient information in compliance with applicable facility and government policies, procedures, and regulatory requirements/statues.
- Photocopies/burn to file and prepares records/reports for mailing.
- Practices effective communication and interpersonal skills to enhance positive teamwork and to accomplish goals/tasks.
- Communicates and reinforces financial policies to all new and established patients.
- Registers patients on a daily basis.
- Prepares charts for the following day and ensures all documents are properly filed and present in chart.
- Verifies and obtains copies of patient’s identification and insurance information (copy of insurance card).
- Ensures all necessary and required documentation is obtained and completed.
- Is aware and sensitive to patient’s needs in waiting area.
- Promotes excellence in customer/patient relations with all encounters.
