Duties
- Answer and direct incoming telephone calls in a courteous and professional manner.
- Schedule, reschedule, and confirm patient appointments.
- Register patients and perform front office check-in/check-out procedures.
- Collect copayments, deductibles, and outstanding patient balances.
- Verify patient demographics, insurance information, and required documentation.
- Triage patients and verifying past medical history (PMH), medications, allergies, and other pertinent medical information prior to provider evaluation.
- Coordinate diagnostic imaging appointments, including radiology scheduling.
- Obtain insurance pre-authorizations and pre-certifications for radiology and other diagnostic procedures.
- Process referrals to specialists and other healthcare providers, ensuring all required documentation is completed and transmitted.
- Complete and process Family and Medical Leave Act (FMLA), disability, and other medical forms in a timely manner.
- Manage medical records requests in compliance with HIPAA regulations, including release of information and record retrieval.
- Communicate laboratory, imaging, and referral information to patients as directed by providers.
- Maintain accurate and timely documentation within the electronic medical record (EMR) system.
- Respond to patient questions regarding appointments, referrals, testing, and office policies.
- Ensure patient confidentiality and compliance with HIPAA and organizational policies.
- Maintain an organized work environment while managing multiple responsibilities in a fast-paced medical office.
- Perform additional administrative and clinical support duties as assigned to meet the needs of the practice.
- Proficiency in Electronic Health Records (EHR) or Electronic Medical Records (EMR) management systems
- Strong knowledge of anatomy, physiology, and nursing principles to support clinical tasks effectively
- Excellent communication skills for clear documentation and compassionate patient interactions
- Knowledge of HIPAA compliance to protect patient privacy at all times
- Experience with medical terminology to accurately record and interpret clinical information
