Position SummaryThe administrative Assistant provides high-level administrative, operational, and strategic support to senior leadership. This role requires exceptional discretion, sound judgment, and the ability to manage complex priorities in a fast-paced, mission-driven environment. The Executive Assistant serves as a trusted partner to senior leadership, enabling focus on strategic growth, partnerships, and organizational execution.
Key ResponsibilitiesExecutive Support
- Manage executive calendars, scheduling, and travel arrangements, including complex, multi-stakeholder coordination
- Prepare briefing materials, agendas, presentations, and correspondence for meetings, board sessions, and external engagements
- Serve as a primary point of contact between executives and internal and external stakeholders
- Anticipate executive needs and proactively address issues before they arise
Administrative & Operational Management
- Handle confidential and sensitive information with the highest level of professionalism and discretion
- Coordinate meetings, including logistics, materials, minutes, and follow-up actions
- Maintain organized records, documents, and filing systems (digital and physical)
- Support expense reporting, invoicing, and administrative approvals as needed
Strategic & Project Support
- Assist with special projects, strategic initiatives, and cross-functional coordination
- Track deadlines, action items, and deliverables to ensure timely execution
- Support operational workflows and continuous improvement efforts
Communication & Stakeholder Engagement
- Draft, edit, and proofread professional communications on behalf of leadership
- Interface with board members, partners, government officials, and clients with professionalism and diplomacy
- Represent the executive office and the SurePass brand with credibility, tact, and sound judgment
Required
- 3 years of experience supporting senior executives or C-suite leadership
- Demonstrated ability to manage multiple priorities with precision and efficiency
- Exceptional written and verbal communication skills
- High level of integrity, discretion, and professionalism
- Strong organizational and time-management skills
Preferred
- Experience in a high-growth technology, public safety, government, or regulated environment
- Familiarity with board governance, executive operations, or investor relations
- Advanced proficiency in Microsoft Office, Google Workspace, and collaboration tools
