THE ROLE
The Systems and Automations Specialist is a high-impact, execution-focused role at the operational core of Supreme Ecom. You will own the technology layer that keeps the business running, from CRM architecture and automation workflows to AI tool implementation and platform integrations. This is not a passive support role. You are expected to proactively identify inefficiencies, build smarter systems, and ensure every tool in our stack is performing at its ceiling.
This role requires someone who is deeply technical, AI-native, and highly organised. You will work across Operations, Marketing, and Consulting connecting the dots between departments through systems that remove friction and create leverage. You should know more than you need to and always be looking for what we have not automated yet.
KEY RESPONSIBILITIES
CRM Management & Integration
- Own and manage the company CRM end to end — structure, pipelines, data integrity, and user access.
- Build and maintain integrations between the CRM and other platforms (email, payment processors, course platforms, affiliate tools).
- Audit CRM performance regularly and implement improvements to ensure clean data and reliable reporting.
- Train team members on CRM usage and ensure adoption across departments.
- Ensure data architecture and CRM infrastructure supports accurate reporting and dashboard performance across departments — working closely with our Data Analyst to maintain data integrity that feeds weekly dashboards and KPI tracking.
AI Tools & Automation
- Research, evaluate, and implement AI tools that drive measurable efficiency gains across the business.
- Build automation workflows that eliminate manual processes — from lead nurturing and onboarding sequences to content distribution and reporting.
- Stay ahead of developments in AI tooling and proactively surface relevant applications to leadership.
- Own the prompt engineering and configuration of AI tools used internally.
Systems Architecture & Platform Management
- Manage and optimize the full tech stack — ensuring all platforms are integrated, up to date, and performing reliably.
- Document all systems, workflows, and integrations in clear SOPs accessible to the team.
- Identify and resolve technical bottlenecks before they become operational problems within Monday, manychat, zapier other applications within Zoho.
- Evaluate new tools and platforms against business needs, cost, and integration complexity before recommending adoption.
Cross-Functional Collaboration
- Work closely with Marketing, Operations,Affiliates and Consulting to understand their system needs and build solutions that serve them.
- Liaise with external developers, platform support teams, and third-party vendors as required.
- Report directly to the Ops Manager with weekly updates on system performance, active builds, and identified improvements.
REQUIREMENTS
- Proven experience managing CRMs (Zoho experience strongly preferred).
- Strong working knowledge of automation tools.
- Demonstrated experience implementing and configuring AI tools in a business setting.
- Comfortable working with APIs, webhooks, and third-party integrations.
- Experience in an e-commerce, digital education, or creator business environment is a strong advantage.
- Excellent documentation habits — you leave systems better than you found them.

- $70,000 annual salary plus monthly bonus potential
