Vocational Billing Clerk

JOB SUMMARY:

The Vocational Billing Clerk is responsible for the accurate and timely submission of vocational billing. This role requires meticulous attention to detail, strong organizational skills, and the ability to work independently to ensure all billing and record-keeping tasks are completed efficiently. The ideal candidate will have a solid understanding of vocational billing processes, including state billing procedures and prior authorization requirements.

ESSENTIAL JOB FUNCTIONS

• Billing and Submission:
  • Prepare and submit all vocational billing for clients in a timely manner, with a strict cutoff of Wednesday at noon for the preceding week's work.
  • Handle "back billing" for any missed or forgotten billing from previous periods.
  • Ensure all billing is submitted with the correct codes, including HTS for clients who missed work but are eligible for vocational units.
• Record Keeping and Payroll:
  • Maintain detailed and accurate records of clients' daily and hourly work.
  • Track and calculate the hours each client worked and their attendance.
  • Prepare and submit client payroll based on hours worked.
• Plan of Care and Prior Authorization:
  • Review and understand each client's Plan of Care, paying close attention to the number of authorized units.
  • Verify that all clients have the necessary prior authorization before submitting any billing.
  • Utilize the designated billing website to check for and track prior authorization and unit availability for each client.
• Administrative Tasks:
  • Begin all paperwork submissions on Sunday for the week prior.
  • Convert vocational units for back billing and ensure accurate conversions.
  • Perform other administrative duties as assigned by the Vocational Director.

KNOWLEDGE, SKILLS & ABILITIES

• Proven experience in vocational billing is highly desirable.
• Proficient in data entry and computer software, including billing platforms and Microsoft Office Suite.
• Excellent organizational and time-management skills.
• Exceptional attention to detail and accuracy.
• Strong communication and interpersonal skills.
• Ability to handle confidential information with discretion.
• Ability to work independently and meet strict deadlines.

EDUCATION & EXPERIENCE

High school diploma or equivalent; associate's degree in a related field is preferred.
