We are seeking a Unit Tracking Specialist, someone who finds purpose in precision, clarity, and the quiet but essential work that keeps our services aligned with Maine State Regulations and Standards, as well as Agency Expectations.
Summary
The Unit Tracking Specialist is responsible for monitoring documentation, staffing patterns, and authorized units for our programs. This role ensures that what is delivered in the field is fully supported by compliant, accurate, and timely documentation and records. The work is steady, detailed, and deeply important to the integrity of our agency.
This role does not include supervisory responsibilities, but collaborates closely with Residential Supervisors, DSPs, and the Residential Service Coordinators.
Responsibilities
With patience, organization, and commitment to quality, you will:
- Adhere to all Support Solutions policies, procedures, and documentation standards
- Verify documentation meets State and Federal requirements
- Conduct Documentation Reviews for accuracy, completeness, and compliance
- Assist the Residential Service Coordinator in training staff on documentation expectations
- Partner with Supervisors and DSPs to improve documentation quality
- Identify insufficient or incomplete documentation and communicate this for correction
- Maintain accurate staffing patterns based on authorized levels
- Monitor staff schedules and documentation to ensure they align with approved units
- Maintain up-to-date Unit Tracking spreadsheets and internal logs
- Assist with preparing clear and supportive narratives for staffing requests when needed
- Complete additional tasks as assigned by the Director of Operations
Qualifications
To succeed in this role, you’ll need:
- Strong attention to detail and a love for organized, consistent workflows
- Ability to learn and navigate documentation systems, spreadsheets, and digital records
- Clear and professional communication skills
- Comfort collaborating with multiple levels of staff
- Dependability, confidentiality, and self-direction
Requirements
- High School Diploma/Transcript, or GED/Hi-Set, and/or previous experience or training relevant to the position
- A Valid Driver's License
- Knowledge and Use of all Microsoft Office Programs, specifically Excel
- While performing the duties of the job, the employee is regularly required to talk and hear. Must be able to occasionally stoop, crouch, kneel, and lift up to 20lbs
- Authorized to work in the United States
