What are the responsibilities and job description for the Operations & Logistics Coordinator position at SUPPLY Showroom?
The Operations Coordinator supports the day-to-day execution of operations within our fabric and textile showroom environment, helping ensure accuracy, consistency, and smooth workflows across the business. This role works closely with the Director of Operations and assists with order tracking, vendor coordination, documentation, and internal process support. The position is detail-driven and plays a key role in keeping operations running cleanly as volume grows.
Key Responsibilities• Support daily operational workflows, including order tracking, logistics, shipping, and fulfillment coordination
• Monitor active orders, timelines, and system updates; proactively flag items that are at risk
• Assist with vendor communication, follow-ups, and status updates
• Help maintain accuracy across systems, including pricing, memos, inventory, and order data (HubSpot, Shopify, internal trackers)
• Order and track strike offs, memos, and yardage for new Supply Collection and licensee development patterns — a core, industry-specific function of this role
• Support the creation and maintenance of SOPs, documentation, and training materials
• Assist with memo processing, tracking, and replenishment coordination
• Participate in weekly operations check-ins and provide updates as needed
• Coordinate across sales, memo house, and operations to ensure alignment and follow-through
• Provide administrative and project support for ongoing operational improvements
Skills & Qualifications
• 1–3 years of operations, administrative, or relevant industry experience preferred
• Strong organizational skills with exceptional attention to detail
• Ability to manage multiple tasks in a fast-paced, deadline-driven environment
• Clear written and verbal communication skills
• Comfortable learning and working across multiple systems and tools
• Proactive, solution-oriented mindset with the ability to flag issues early
• Reliable, organized, and process-driven
• Familiarity with the fabric, textile, or interior design industry is a plus
