We are seeking a highly organized and detail-oriented Company Secretary to join our team. The Company Secretary will be responsible for maintaining accurate records, coordinating meetings, and facilitating effective communication across departments.
Duties
- Prepare and maintain corporate documentation, including minutes of meetings, resolutions, and statutory registers
- Ensure compliance with legal and regulatory requirements relevant to the company’s operations
- Manage calendar scheduling for board meetings, shareholder meetings, and other corporate events
- Handle correspondence and communication with stakeholders, clients, and regulatory bodies
- Oversee filing of statutory documents with government agencies and maintain organized records
- Assist in drafting reports, presentations, and other business documents using Microsoft Office and Google Workspace tools
- Support office management tasks such as data entry, filing, proofreading, and maintaining office supplies
- Provide excellent customer service at the front desk, including managing multi-line phone systems and greeting visitors
- Support bookkeeping activities using QuickBooks or similar accounting software when necessary
- Coordinate with other administrative staff to ensure smooth office operations
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Strong organizational skills with excellent time management abilities
- Experience with office management and clerical tasks including data entry, filing, and proofreading
- Effective phone etiquette and experience handling multi-line phone systems
- Bilingual abilities are a plus to assist diverse clients and stakeholders
- Prior experience in office administration or as a personal or legal assistant is beneficial
