THE ROLE
The Project Coordinator is the connective tissue of Superior’s business. This hybrid role sits at the intersection of three critical functions: bridging the handoff from Sales to Operations, supporting Operations through effective communication, and closing the loop from Operations to Accounting. You’ll also serve as the organizational backbone of our office, ensuring the internal environment runs as smoothly as the moves we deliver.
This is not a passive coordination job. You’ll own your work end-to-end, from the first client walkthrough to the final invoice trigger, while keeping crews, clients, and leadership aligned at every step.
CORE RESPONSIBILITIES
Sales → Operations Handoff
· Partner with the sales team to review project scope, constraints, and client expectations prior to move day.
· Prepare detailed move plans and client-ready proposals using Superior's rate models.
· Support revisions, scope changes, and pre-project communications as the project evolves.
· Schedule and lead project kickoff calls; set clear expectations with clients and internal teams from the start.
· Enter and maintain accurate project details in Move Magic & QBO.
Operations Support & Office Management
· Serve as the primary point of contact for clients throughout the life of the project — from pre-move calls and mid-project check-ins to post-move follow-up.
· Coordinate crews, trucks, and vendors from the office; issue daily briefings and schedules to keep all parties aligned.
· Manage inbound calls and communications from clients, vendors, and partners with professionalism and responsiveness.
· Resolve scheduling conflicts, last-minute changes, and client questions in real time.
· Onboard office vendors, manage supply ordering, and support general office operations.
Operations → Accounting Close-Out
· Conduct post-move client calls to confirm satisfaction, gather feedback, and obtain sign-off.
· Trigger invoicing and ensure all project data is accurate in QBO and Chariot Move.
· Archive project documents, capture lessons learned, and close out compliance documentation.
· Help track internal performance metrics to support ongoing improvement.

· 2–4 years in a coordination, operations, or project management (Preferred)
· Experience supporting field teams and managing administrative functions.
