Position Summary
The Accounting Assistant provides accounting and financial support specific to homeowner’s associations (HOAs), condominiums, and community associations. This role assists with maintaining accurate financial records, processing homeowner assessments, supporting board reporting, and ensuring compliance with governing documents, management agreements, and applicable state laws. Accuracy, confidentiality, and responsiveness to homeowners and boards are critical to this position.
Key Responsibilities
HOA Accounting & Financial Operations
- Process and post homeowner assessments, special assessments, late fees, fines, and other association charges in accordance with governing documents and board-approved policies
- Maintain individual homeowner ledgers and ensure accuracy of balances and transaction histories
Accounts Payable & Vendor Management
- Process vendor invoices, verify proper approval, and ensure expenses are charged to the correct association and general ledger accounts
- Assist with preparing check runs and electronic payments in compliance with internal controls
- Maintain vendor files, W-9s, certificates of insurance, and contract payment schedules
- Assist with tracking contracts, recurring expenses, and reserve-funded projects
Financial Reporting & Board Support
- Assist in preparing monthly financial statements for boards, including balance sheets, income statements, general ledgers, delinquency reports, and bank reconciliations
- Support budget preparation by compiling historical expense and income data
- Assist with reserve study tracking and ensure reserve transfers are recorded accurately
- Prepare financial materials for board meetings and annual member meetings
Bank Reconciliations & Cash Management
- Perform or assist with monthly bank reconciliations for operating, reserve, and special-purpose accounts
- Track transfers between operating and reserve accounts and ensure compliance with board approvals
Homeowner & Board Communication
- Respond professionally to homeowner inquiries regarding assessments, balances, payment history, and account questions
- Coordinate with community managers regarding violations, fines, and account status
- Provide clear, courteous, and consistent communication while maintaining confidentiality
Qualifications
Required
- High school diploma or equivalent
- 1–3 years of accounting or bookkeeping
- Working knowledge of accounting principles
- Proficiency in accounting software and Microsoft Excel
Skills & Competencies
- Strong attention to detail and accuracy in financial data
- Ability to manage multiple associations and deadlines simultaneously
- Strong organizational and documentation skills
- Professional judgment and discretion when handling homeowner and board information
Work Environment
- Office-based with standard business hours
- Periodic flextime during month-end close, budget season, or annual audits
This position currently does not offer benefits. The starting salary is $42,000 and represents an excellent opportunity for someone seeking a new role where they can leverage their existing skills and experience.
