ABOUT THE POSITION
The Events Specialist plays a key role in planning, coordinating, and executing court-related events by managing contracts, vendors, budgets, and logistical details from start to finish. This position ensures high-quality event experiences through effective communication, cost negotiation, compliance with Judicial Council guidelines, and collaboration with internal departments, external partners, and security teams. The role also supports procurement processes, maintains strong stakeholder relationships, and continuously seeks opportunities to improve event operations and service delivery. Key Responsibilities
  • Review, negotiate contracts and complete internal court forms.
  • Create court wide announcements, PowerPoints, meeting agendas, surveys, flyers, and invitations.
  • Provide logistical support to the Presiding Judge’s Office, Senior Executive Team, and court leadership as it pertains to event planning and catering orders.
  • Strategize, plan and coordinate meeting details, including event orders, room setup, process audio and video requests, meals, and photography.
  • Develop event timelines and workflows, track event outcomes and participation data, and identify opportunities to improve operational efficiency.
  • Plan all aspects of security to ensure judicial officers are secured during external conferences and meetings. 
  • Maintain strong attention to detail and uphold confidentiality in all aspects of event planning and documentation.
  • Demonstrate excellent organizational and time-management skills while handling multiple event-related tasks and deadlines.
  • Develop, manage, and maintain databases, spreadsheets, and other analytical tools to collect, track, and analyze information.

THIS IS A TELEWORK ELIGIBLE OPPORTUNITY
This position may be eligible for partial telework following an initial training period and contingent upon the needs of the Court.

SELECTION REQUIREMENTS
To qualify, you must meet one of the following options at the final filing date of this bulletin:


OPTION I: Bachelor’s degree from an accredited four-year college or university* with a major in communications, hospitality management, marketing, public administration, public policy, business administration, administration of justice, political science or other closely-related field -AND- one (1) year of recent responsible experience defining, researching, analyzing management problems, and issues, and making recommendations for their solution -AND- two (2) years of responsible experience in full-scale event planning**.

OPTION II: Five (5) years of responsible experience in defining, researching, analyzing management problems, and issues, and making recommendations for their solution -AND- two (2) years of responsible experience in full-scale event planning**.

**Full-scale event planning is defined as management of events full lifecycle including but not limited to conceptualization, budgeting and financial management, venue logistics, vendor and stakeholder management, guest coordination and on-site execution.

Note: Credit for experience is given based on a 40-hour workweek. Part-time experience is credited on a part-time ratio (e.g., working 20 hours per week for two months equals one month of experience). Overtime does not count toward additional credit.


DESIRABLE QUALIFICATIONS

  • Proficiency in Microsoft Suite, Canva, Adobe, or other comparable design software.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to manage multiple projects, set priorities, and meet deadlines in a fast-paced, collaborative environment.
  • Sound judgment and discretion when handling confidential or sensitive information.
  • Strong interpersonal skills with the ability to build effective working relationships with judicial officers, Court staff, external stakeholders, and vendors.
