The Role
The Operations Administrator helps keep the day-to-day administrative operations of Superior Control Systems running smoothly while providing proactive support to our leadership team.
This is a hands-on role. One hour you may be coordinating a facility repair with a vendor, the next setting up a new project, making a bank deposit, helping with employee onboarding, monitoring an automated AP process, organizing files, or handling something a leadership team member needs completed.
Success in this position isn't just about completing assigned tasks. It's about taking ownership and getting things resolved.
What You'll Be Responsible For
You'll help own the administrative operation of the office, including:
- Office & Facilities: Own vendor coordination, office supplies, facility needs, mail, deposits, errands, and day-to-day office organization through resolution.
- Executive & Employee Support: Provide proactive administrative support to leadership, assist with employee onboarding, manage related budgets, and help create a welcoming, professional office environment.
- Project & Document Administration: Set up new projects, maintain shared drives and files, manage document organization/version control, and document recurring administrative processes.
- AI & AP Workflow Oversight: Monitor AI-enabled administrative and Accounts Payable workflows, resolve routine exceptions and follow-ups, and research issues requiring financial decisions before escalating them to leadership.
Required Background
Direct office administration experience is not required if you can demonstrate strong organization, initiative, problem-solving ability, professionalism, and follow-through.
You should have:
- Strong organizational skills and attention to detail.
- A demonstrated ability to work independently.
- Strong follow-through and personal accountability.
- Good written and verbal communication skills.
- The ability to prioritize multiple responsibilities.
- Comfort using technology and learning new systems.
- Comfort working with Slack, Google Drive, Gmail, ChatGPT, and similar tools.
- A willingness to work alongside AI agents and AI-enabled business processes.
- Reliable transportation for occasional local business errands.
- The ability to reliably work in the office Monday through Friday from 9:00 AM–2:00 PM.
Strongly Preferred
- 2 years of office administration, office coordination, executive support, operations support, or similar experience.
- Experience coordinating vendors or facilities.
- Experience supporting executives or a leadership team.
- Experience helping coordinate employee onboarding.
- Experience documenting administrative processes or creating repeatable systems.
- Experience working with automated business processes or AI-enabled tools.
