Title: Exhibitor Director
Summary of Role: The Exhibitor Director is a leader responsible for driving excellence with an emphasis in large scale trade show management and exhibitor sales with over 300 exhibitors. The Exhibitor Director is responsible for connecting all dots inside the Expo portion of the Conference across all teams. The role oversees all project management deliverables related to the expo space floor plan and booth build outs, inbound sales process and agreements, set up and management of the Exhibitor Portal within the EMS, expo budget, exhibitor manual and show floor management on site.
Exhibitor Director is expected to be available at a full-time temporary capacity, Monday - Friday. Working hours are 10am-6pm EST some additional hours or weekend work may be required related to the nature of the project.
Responsibilities:
- Exhibitor Sales and Retention
- Develop and implement strategies to attract new exhibitors and retain existing ones.
- Build and maintain strong relationships with exhibitors, understanding their needs and ensuring their satisfaction.
- Determine tiered Exhibitor Sales packages, pricing and benefits
- Prepare sales materials and presentations to effectively communicate the benefits of participating in the event.
- Contract Negotiation
- Negotiate contracts with exhibitors, ensuring favorable terms for both parties.
- Ensure compliance with all contractual obligations.
- Exhibitor Management Portal
- Build out the Exhibitor Portal within the Event Management System, including exhibitor registrations, interactive maps/booth selection, tasks and communications
- Event Planning and Coordination
- Work closely with the GC, Client and Production & Operations team to design and implement exhibitor layouts and floor plans.
- Coordinate logistics for exhibitor setup, including booth assignments, kits, utilities, and other necessary services.
- Budget Management
- Develop and manage the budget for exhibitor-related activities.
- Monitor expenses and revenue, ensuring financial targets are met.
- Customer Service
- Provide excellent customer service to exhibitors, addressing any issues or concerns promptly and professionally.
- Conduct surveys and gather feedback from exhibitors to continually improve the experience.
- Team Management
- Lead and mentor a team of staff responsible for exhibitor services.
- Delegate tasks and manage workload to ensure efficient operations.
- Collaborate closely with other department personnel, including business leadership, Sales, Creative, Marketing, Finance and Venue to ensure alignment and successful project outcomes.
- Effectively communicate opportunities and challenges to internal and external stakeholders
- Reporting and Analysis
- Track and analyze exhibitor participation and performance metrics.
- Prepare reports and presentations for senior management, highlighting key insights and recommendations
Qualifications:
- 5 years producing live experiences within B2B conventions, trade shows, conferences and live events sectors.
- 3 years of proven experience in a management role
- Brings a proven track record in building and managing large-scale budgets for productions, demonstrating fiscal responsibility and cost-effectiveness.
- Exceptional communication and interpersonal skills.
