Job Summary

We are seeking a professional and organized Receptionist/Administrative Assistant to join our team. This role is vital in ensuring smooth office operations, providing exceptional customer service, and supporting administrative functions. The ideal candidate will possess strong office management skills, proficiency with various computer applications, and excellent communication abilities. Bilingual skills are a plus, as well as experience in medical or dental reception. This position offers an opportunity to contribute to a dynamic office environment while developing your administrative expertise.

Responsibilities

  • Greet visitors and clients at the front desk with professionalism and courtesy.
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately.
  • Schedule appointments and maintain calendar management for staff and clients.
  • Perform data entry, filing, and maintain organized records using Microsoft Office, Google Workspace, and other relevant software.
  • Handle correspondence via email and postal mail, including proofreading documents for accuracy.
  • Assist with office management tasks such as supply inventory and basic bookkeeping using QuickBooks.
  • Support customer service efforts by addressing inquiries promptly and effectively.
  • Maintain a clean and organized reception area to ensure a welcoming environment.
  • Provide clerical support including typing, document preparation, and supporting personal assistant duties as needed.

Experience

  • Prior office experience is preferred, especially in administrative or clerical roles.
  • Experience with front desk operations, multi-line phone systems, and office management tools.
  • Familiarity with Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tasks.
  • Bilingual abilities are highly desirable to assist diverse client needs.
  • Knowledge of QuickBooks or bookkeeping experience is a plus.
  • Strong organizational skills with the ability to multitask efficiently.
  • Excellent phone etiquette, customer service skills, and professional appearance.
  • Proven ability to manage time effectively in a fast-paced environment.
  • Previous experience in medical or dental receptionist roles is advantageous but not required.

Job Type: Full-time

Pay: $16.00 - $20.00 per hour

Expected hours: 24 – 30 per week
