As our Executive Assistant & Property Operations Coordinator, you’ll work directly with company leadership, helping oversee our Baltimore portfolio while playing a key role in leasing, resident relations, administrative operations, and vendor coordination.

Responsibilities
Property Management & Leasing
- Conduct property tours and lease available units.
- Process rental applications and complete lease signings.
- Coordinate resident move-ins and move-outs.
- Respond to resident questions and resolve concerns promptly.
- Perform regular inspections of all properties.
- Monitor lease compliance and enforce community policies.
- Maintain high occupancy levels through effective leasing strategies.
Operations
- Oversee the daily operations of five residential properties.
- Manage the day-to-day operation of three adjacent congregate housing properties.
- Maintain an organized onsite office.
- Prepare reports and maintain accurate resident records.
- Coordinate rent collection and follow up on delinquent accounts.
- Communicate regularly with ownership regarding property performance.
- Schedule and oversee outside contractors for specialized repairs.
- Verify work quality and ensure projects are completed on time.
- Maintain maintenance logs and supply inventory.
Vendor & Project Management
- Coordinate subcontractors for renovation and capital improvement projects.
- Obtain vendor estimates when necessary.
- Ensure contractors meet quality standards and project deadlines.
- Report project progress to ownership.
Qualifications
- Property management or leasing experience preferred.
- Excellent customer service and communication skills.
- Strong organizational and administrative abilities.
- Comfortable using Microsoft Office, Google Workspace, and property management software.
- Ability to prioritize multiple responsibilities independently.
- Valid driver’s license and reliable transportation.
- Ability to lift up to 50 pounds and perform light maintenance tasks.
