The Center Operation Supervisor is responsible for the smooth, efficient and compliant daily operations of the clinic, including managing the schedule, staff, and client interactions . This role supports the delivery of high-quality services, compliance with ethical standards, team development, and smooth clinical operation practices.

RESPONSIBILITIES:

Administrative Oversight:

  • Oversee administrative staff and daily office operations.
  • Act as the main communication source between client families and the staff.
  • Oversee reception: greet families and team members, answer calls, and handle mail.
  • Manage building access and security, ensuring accurate and current authorized pick-ups, access control, and presence of approved guardians and team members.
  • Maintain accurate and updated CentralReach data elements, including schedule changes, appointment conversions, pipeline dates, client and staff profiles, and documentation management reports.
  • Handle rescheduling of services, and manage communication of schedule changes, cancellations, and day-of schedule adjustments.
  • Support intake assessment scheduling and family portal setup as needed.

Data Tracking and Reporting:

  • Track data and prepare management reports, including potential client lists, contract fulfillment, billable percentages, timesheets, turnover, and applicant tracking.

Employee and Client Management:

  • Serve as a point of contact for client families regarding non-clinical inquiries or concerns.
  • Supervise and support center-based staff, including BT's, RBT's, and Technician Floaters.
  • Promote positive staff morale, team collaboration, and conflict resolution when needed.
  • Prepare and maintain employee and client rosters and files.
  • Act as a liaison between the Sunrise satellite office and Corporate Headquarters.
  • Provide payroll support: coding, timekeeping compliance, converting support, amending notes, etc.

Human Resources and Financial Functions:

  • Assist with Payroll, Billing, and Human Resources functions.
  • Manage office supplies budget and purchase orders for the local office.
  • Offer HR support: onboarding and offboarding tasks, timekeeping, training setup, final paycheck processing, and document collection.
  • Assist with team member certifications, applications, and exams, handling payment and documentation as needed.
  • Manage and facilitate staff breaks and ensure compliance with California labor laws and company policies.
  • Partner with HR and leadership on employee relation matters.

Performance Management:

  • Hold quarterly coaching sessions and annual performance reviews with direct reports (Administrative Staff).
  • Responsible for achieving performance goals and operational KPIs
  • Support the Clinical Director with coaching and corrective action documentation.
  • Foster a positive team culture: welcome new hires, support staff needs, and organize events.
  • Implement procedures to improve office performance, such as minimizing session cancellations and staff turnover.
  • Ensure center upkeep and functioning: order supplies, ensure safety and compliance (drills, audits), and act as the "leader of the facility."

Marketing Support and Growth:

  • Provide marketing support for the office and meet minimum monthly growth requirements.
  • Support marketing efforts: drop off brochures, take pictures, coordinate and set up events.
  • Promote the center through local engagement events.

Training and Meetings:

  • Attend/lead required training and meetings.
  • Meet regularly with the assigned Area Operations Manager for supplemental training and to review monthly goals aligned with quarterly goals set by the Manager of Satellite Operations.
  • Coordinate with the facilities team to address center needs and manage vendor visits.

QUALIFICATIONS:

  • Bachelor's degree in business, healthcare, psychology, education, or related field preferred.
  • 2 years of administrative, operational, or management experience, preferably in healthcare or ABA settings.
  • Supervisory or leadership experience required.
  • Proficient in scheduling software and Google software suite; experience with CentralReach preferred.
  • Proficiency in setting up laptops and tablets for new employees.
  • Strong communication, organizational, and problem-solving skills.
  • Ability to multitask, prioritize, and maintain professionalism in a fast-paced environment.
  • Familiarity with HIPAA and labor compliance; knowledge of California labor law is a plus.
  • Reliable, detail-oriented, and committed to confidentiality and team culture.

WORKING CONDITIONS:

  • Must work on-site with reliable transportation.
  • The Center is open 8am-7pm.
  • Flexibility needed to cover the center as needed.
  • May require some closing and weekend hours.
  • Ability to lift up to 25 pounds
  • Ability to sit at a desk for extended period of time
