Position Summary:
The Scheduling Lead – O&M oversees the planning, coordination, and optimization of all Operations & Maintenance service schedules to ensure efficient deployment of technicians, timely work order completion, and alignment with contractual service level agreements (SLAs).
This role serves as the operational hub between customer service, field operations, and supply chain teams, ensuring accurate scheduling, strategic resource allocation, and consistent delivery of service commitments. The Scheduling Lead also provides team oversight, performance monitoring, and process improvement leadership to enhance overall service execution.
Essential Duties:
Scheduling & Dispatch Management
- Lead daily scheduling and dispatch for O&M work orders, preventive maintenance, warranty repairs, and emergency service calls.
- Prioritize service requests based on urgency, customer impact, geographic efficiency, and SLA requirements.
- Ensure all job documentation, materials, and prerequisites are complete prior to technician dispatch.
Operational Coordination
- Serve as a senior coordination point for field teams, customer service, and third-party contractors.
- Partner with supply chain to ensure timely availability of materials and equipment.
- Proactively adjust schedules to accommodate weather delays, customer rescheduling, urgent service needs, or field constraints.
Performance Tracking & Reporting
- Monitor and report on scheduling KPIs including throughput, on-time completion rates, technician utilization, and backlog reduction.
- Identify scheduling inefficiencies and lead continuous improvement initiatives.
- Prepare daily, weekly, and monthly performance reports for O&M leadership.
Team Leadership & Development
- Supervise and mentor scheduling team members, conducting regular coaching sessions and performance discussions.
- Prepare operational memos, 8D/RCCAs, and develop and maintain specifications (SPECs) related to scheduling processes.
- Promote a culture of efficiency, accountability, and customer-first service delivery.
Customer & Stakeholder Engagement
- Support escalations involving schedule changes, delays, or service conflicts.
- Communicate professionally with customers regarding scheduling updates and resolutions.
- Represent the scheduling function in cross-departmental planning sessions and operational reviews.
- Negotiate and navigate complex service situations with diplomacy and professionalism.
Minimum Qualifications:
- 3 years of experience in scheduling, dispatch, or service coordination (solar, utilities, telecom, or construction preferred).
- Strong organizational skills with the ability to manage complex, multi-regional schedules.
- Demonstrated problem-solving and decision-making abilities under time-sensitive conditions.
- Effective written and verbal communication skills across multiple stakeholder groups.
- Proficiency with CRM platforms and scheduling systems.
- High school diploma or equivalent required.
Preferred Qualifications:
- Experience leading or mentoring a scheduling or dispatch team.
- Familiarity with solar PV systems and O&M service processes.
- Bachelor's degree in business, operations, or related field.
- Data-driven experience analyzing performance metrics and operational KPIs.
While performing the duties of this job, the employee is regularly required to talk or hear. Regular periods of sitting or standing may be required by this position. In addition, this position requires the ability to occasionally lift office products and supplies, up to 50 pounds. Specific vision abilities required by this job include close vision and ability to adjust focus.
