Responsibilities
- Oversee daily office operations, including front desk duties, multi-line phone systems, filing, and calendar management to ensure seamless workflow.
- Supervise administrative staff and coordinate training & development initiatives to promote team growth and efficiency.
- Manage bookkeeping tasks using QuickBooks or similar accounting software, including invoicing, expense tracking, payroll processing, and financial reporting.
- Handle vendor management by negotiating contracts, maintaining relationships, and ensuring timely delivery of supplies and services.
- Support human resources functions such as onboarding new employees, maintaining personnel records, and assisting with employee relations.
- Assist with budgeting activities by monitoring expenses, preparing financial forecasts, and ensuring adherence to organizational financial policies.
- Plan and coordinate events or meetings as needed to foster team engagement and professional development.
Requirements
- Bilingual - English and Korean
- Proven experience in office management or administrative roles within a professional setting; experience in medical office management is a plus.
- Strong bookkeeping skills with proficiency in QuickBooks or comparable accounting software.
- Demonstrated supervisory experience with the ability to lead and motivate a team effectively.
- Excellent organizational skills with the ability to manage multiple priorities simultaneously.
- Effective communication skills—both verbal and written—and professional phone etiquette.
- Knowledge of scheduling management tools and calendar organization for efficient time allocation.
- Familiarity with vendor management processes, payroll administration, budgeting practices, and human resources procedures.
- Experience with clerical tasks such as filing systems, front desk operations, and handling multi-line phone systems is highly desirable.
