Work Location: In person (Fairfield, OH)Job DescriptionWe are seeking a Bilingual HR Administrative Assistant to bridge the gap between our office operations and our field crew. This role manages critical human resources, administrative, and payroll tasks while providing translation and interpretation support. A strong familiarity with construction operations and industry software is essential to ensure compliance, accurate tracking, and smooth communication across all project teams.
Key Responsibilities
- Bilingual Translation & Interpretation: Translate HR policies, training materials, safety manuals, and job site memos. Act as the primary interpreter for interviews, orientations, and field crew communications.
- Onboarding & Employee Relations: Source field labor, process incoming applications, and run background checks. Conduct safety orientations and guide new hires through the complete onboarding pipeline.
- Payroll & System Administration: Input and verify weekly field timecards within Trimble Viewpoint. Address payroll discrepancies, track field per-diems, and manage employee benefit inquiries.
- Compliance & Record Keeping: Maintain up-to-date worker documentation, including I-9 verification, e -verify, OSHA certifications, and safety records. Assist with tracking certified payroll data for public projects.
- General Office Support: Manage front office incoming calls, order necessary field/office supplies, and support the executive team with administrative workflows.
Requirements & Qualifications
- Language: Fluent written and verbal proficiency in both Spanish and English is strictly required.
- Software: Proven hands-on experience using Trimble Viewpoint (Vista or Spectrum) or a highly comparable construction ERP/HRIS system.
- Experience: 1–3 years of experience in human resources, payroll administration, or office management. Prior experience working within the construction, demolition, or heavy industrial sectors is strongly preferred. [1]
- Skills: Deep understanding of construction labor workflows, sharp attention to details, and the capability to handle confidential personnel files with total discretion.
