What are the responsibilities and job description for the Admissions Specialist position at Sundown M Ranch?
SUMMARY
As an Admissions Specialist, you will perform pre-screening of potential patients, insurance pre-approval, insurance utilization reviews, the intake process for patients, as well as assisting with clerical, receptionist and customer service activities. You will be under the day-to-day supervision of the Admissions Department Supervisor, which is overseen by the Executive Director and the Director of Operations or designee.
The most essential tasks for which you will be responsible include:
- Answering calls from potential patients and/or referents, addressing calls in the phone message system, and directing calls/messages to the appropriate staff.
- Initiating and developing electronic “reservation” records for potential patients.
- Gathering pertinent information from potential patients and/or referents to screen for appropriate services and if necessary, staffing unusual or complicated situations with Management.
- Gathering insurance information from patient and/or referent to determine benefits, requirements, and if appropriate obtaining pre-approval and/or authorizations from insurance companies. Performing utilization review functions as needed and following up on denials and/or appeals when applicable.
- Assisting with the training of new Admissions Specialists.
- Completing intake processes for incoming patients.
- Working as a collaborative team member to provide customer service and organizational service support.
- Creating electronic records, counselor, office, and financial files with appropriate paperwork.
- Performing other duties as directed by the Admissions Department Supervisor, the Executive Director, and the Director of Operations or designee.
SUPERVISORY RESPONSIBILITIES
There are no supervisory duties required in this position.
Qualifications:QUALIFICATIONS
- Preference given to applicants with a High School diploma or a GED. You must also have some experience in general office duties and be proficient in or knowledgeable of a variety of computer software applications.
- You must be physically capable of performing the job and able to work with people in a friendly, caring manner.
- You must have the ability to cope with emotional behavior that is often apparent in patients in treatment.
ACCESS TO PROTECTED HEALTH CARE INFORMATION
In this position, you will have access to patient health care information needed to conduct insurance authorization and reservations.

Language Skills

Mathematical Skills
You will need the ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.

You will need to be able to apply common sense understanding to carry out instructions furnished in written oral, or diagram form and have the ability to deal with problems involving several concrete variables in standardized situations.
OTHER SKILLS AND ABILITIES
You may be asked to pass a word processing test using standardized software. You may be asked to demonstrate your ability to operate a personal computer and to input as well as access information from a network. You will need the ability to develop effective working relationships with patients, staff and the recovery community. You must be able to communicate clearly and concisely, both orally and in writing. You will be required to perform your duties with an awareness of Sundown M Ranch requirements and the policies established by the Board of Directors.

The noise level in the work environment is acceptable to this particular environment.
