Summary

The Gatehouse, Guest Arrival & Parking Attendant plays a vital role in creating a warm and seamless arrival experience for guests, Lodging Partners, and visitors. Serving as one of the first points of contact at Sundance Mountain Resort, this position ensures every interaction reflects Sundance Mountain Resort's Guiding Lights-Welcome, Valued, Inspired.

The Gatehouse, Guest Arrival & Parking Attendant is a flexible, cross-functional position supporting Front Office Operations, Bell, Valet, and Parking Operations. The attendant coordinates lodging arrivals and directs guests to the porte-cochère or designated guest arrival areas at The Inn at Sundance Mountain Resort, while also supporting Gatehouse access, Lot B valet and Food & Beverage parking, and seasonal Lot A parking. Team members rotate between Gatehouse and parking responsibilities throughout their shifts according to guest volume, operating needs, and supervisor direction. All duties are performed in accordance with established Resort standard operating procedures (SOPs).

Key Responsibilities

Guest Arrival & Departure

  • Warmly welcome each arriving guest, Lodging Partner, vendor, and visitor with professionalism and genuine care.
  • Verify reservations, visit purpose, or other appropriate information to ensure authorized access to the Resort.
  • Communicate lodging arrivals and special guest needs to Front Office Operations, Bell, and Valet in accordance with established communication and arrival procedures.
  • Provide directions and accurate Resort information, tailoring communication to guest needs.
  • Direct arriving lodging guests to the porte-cochère or designated guest arrival areas at The Inn; direct other guests to the appropriate parking area or Resort destination.
  • Anticipate guest needs and proactively provide information regarding Resort services, activities, parking, traffic, weather, and current conditions.
  • Offer warm and professional farewells that reinforce Sundance's unique sense of place and connection.

Flexible Assignment & Shared Shift Responsibilities

• Work interchangeably between Gate House operations, lodging arrival support, Lot B, and Lot A throughout each scheduled shift, as directed by operational needs and leadership.

• Remain prepared to shift assignments quickly during arrival and departure peaks, dining periods, ski traffic, special events, or unexpected congestion.

• Coordinate coverage and communicate handoffs before moving between assigned areas to maintain guest service, access control, and safe parking operations.

• Assist fellow attendants with guest direction, parking management, traffic control, and Gate House duties rather than treating each area as a separate position.

Lodging Arrivals & Lot B Valet / Food & Beverage Parking

• Support the arrival of overnight lodging guests, verify arrival information as appropriate, and communicate with Front Office, Bell, and Valet to facilitate a smooth transition to check-in and accommodations.

• Manage vehicle direction and guest communication for Lot B valet operations and Food & Beverage parking, in coordination with the Valet and restaurant teams.

• Help maintain orderly loading, unloading, drop-off, and pickup activity; protect designated lanes, pedestrian access, and emergency routes.

• Monitor Lot B capacity and guest demand, provide appropriate parking instructions, and escalate congestion or service concerns promptly.

• Assist with special arrival arrangements, VIPs, groups, and events in coordination with the relevant Resort departments.

Lot A Parking - Summer and Ski Season

  • Manage Lot A as complimentary guest parking during summer operations and as paid and reserved parking during the ski season, following current Resort parking policies and procedures.
  • Maintain a safe, organized, clean, and welcoming parking environment for day guests.
  • Monitor vehicle flow and parking activity within Lot A and assist with efficient use of available parking.
  • Direct guests to appropriate parking spaces; during ski season, verify paid or reserved parking eligibility and provide clear guidance on applicable parking requirements and procedures.
  • Monitor parking conditions and communicate capacity, congestion, or operational concerns to appropriate Resort leadership.
  • Assist with traffic flow between the Gate House, Resort entrance, and Lot A to minimize congestion and improve the guest experience.
  • Monitor and maintain parking-related signage, cones, barricades, and other traffic-control equipment.
  • Identify improperly parked, abandoned, or otherwise problematic vehicles and follow established Resort procedures for addressing or escalating concerns.
  • Maintain clear and accessible pedestrian pathways and communicate maintenance or safety concerns to the appropriate department.
  • Assist with snow and winter-weather preparation and upkeep of Lot A as directed.
  • Identify areas requiring snow removal, sanding, or other maintenance and communicate needs to the appropriate Resort team.
  • Provide proactive assistance to day guests navigating Lot A, particularly during periods of high traffic or inclement weather.
  • Communicate parking-related guest concerns or issues to Security or Resort leadership as appropriate.

Resort Access & Traffic Flow

  • Monitor and manage vehicle flow entering and exiting the Resort, including lodging arrivals, Lot B valet and Food & Beverage parking, and Lot A parking, to promote a safe, efficient, and welcoming arrival experience.
  • Direct vehicles appropriately based on guest type, destination, parking needs, event activity, and current Resort operations.
  • Help prevent congestion at the Gate House, Resort entrance, Lot A, and Lot B, including lodging arrival and Food & Beverage peak periods.
  • Provide clear and courteous direction to guests during periods of increased traffic.
  • Coordinate with Valet, Bell, Front Office, Security, Transportation, Mountain Operations, and Resort leadership when additional support or operational adjustments are needed.
  • Maintain awareness of road, weather, and mountain conditions that may affect guest arrivals, parking, and traffic flow.
  • Assist with temporary traffic control and arrival procedures as directed.

Safety & Security

  • Monitor and track vehicle and pedestrian traffic entering and exiting the property in accordance with Resort procedures.
  • Enforce access-control protocols while maintaining a welcoming and service-oriented approach.
  • Maintain a high level of situational awareness around the Gate House, Resort entrance, Lot A, and Lot B.
  • Identify and promptly communicate suspicious activity, safety concerns, accidents, hazards, or unusual situations to Security or Resort leadership.
  • Maintain accurate records of activity, incidents, access, parking concerns, and other required logs.
  • Follow Resort emergency procedures and assist with communication and guest direction during emergency or unusual situations.
  • Monitor weather and winter conditions and communicate hazards that may affect safe access to the Resort, Gate House, or Lot A.

Communication & Department Coordination

  • Maintain consistent and professional radio and phone communication with Valet, Bell, Front Office, Security, Transportation, Mountain Operations, and other Resort departments.
  • Provide real-time updates regarding guest arrivals, VIPs, Lodging Partners, groups, special events, parking conditions, traffic volume, or special service requirements.
  • Serve as a central communication point for information affecting guest arrival, access, parking, and traffic flow.
  • Proactively communicate operational changes, traffic concerns, weather impacts, parking conditions, or other information that may affect the guest experience.
  • Support coordinated arrival and parking operations during peak periods to ensure departments are prepared and guests experience a seamless transition from arrival to their destination.
  • Escalate issues appropriately and promptly to the appropriate department or leadership team.

Operational Standards

  • Follow established Gatehouse, Front Office arrival coordination, Bell and Valet handoff, Lot B parking, and seasonal Lot A parking SOPs; communicate any unclear procedures or exceptions to leadership.
  • Maintain a clean, organized, professional, and welcoming Gate House environment.
  • Maintain Lot A, Lot B, and Gate House areas in accordance with Resort standards for cleanliness, organization, safety, signage, and guest experience.
  • Ensure signage, radios, phones, computers, cones, barricades, and other operational equipment are functioning properly and report issues promptly.
  • Maintain accurate logs, records, and required documentation.
  • Protect guest and Lodging Partner information and exercise appropriate discretion when handling confidential or sensitive information.
  • Maintain a professional appearance and consistently represent Sundance Mountain Resort's service standards.
