Job Overview
Suncoast Vacation Homes is seeking a highly reliable and proactive Operations Manager to oversee the day-to-day performance of our growing portfolio of 30 short-term rental properties in the Largo/Seminole/St. Pete/Bradenton area. This is a full-time, 1099 contractor role requiring 24/7/365 availability to ensure seamless operations, exceptional guest experiences, and well-maintained homes. The ideal candidate is highly organized, responsive, and solution-oriented, with the ability to coordinate vendors, manage maintenance issues, communicate with guests, and proactively identify opportunities to improve property standards. This role is critical to maintaining the quality, efficiency, and reputation of our vacation rental business and requires someone who takes full ownership and thrives in a fast-paced, hands-on environment.
Property Operations & Maintenance Oversight
- Conduct quarterly exterior and interior property inspections to ensure each home maintains a high-quality, guest-ready standard
- Identify wear and tear, cleanliness issues, and overall property presentation; proactively address deficiencies
- Coordinate replacement or repair of amenities (e.g., outdoor games, furniture, etc) and oversee installation as needed
- Log company purchases into the transaction system
- Ensure outdoor areas are well-maintained, including weed control, removal of debris/spiderwebs, and general upkeep of areas surrounding the pool and amenities
- Treat and prevent mildew/mold buildup on outdoor furnishings (umbrellas, cushions, etc.)
Maintenance Coordination & Issue Resolution
- Create and manage maintenance tickets, coordinating with our vendors, our cleaners, our inspector, and virtual assistants to ensure timely resolution
- Monitor internal communication channels daily to identify and prioritize maintenance needs and guest satisfaction
- Schedule and dispatch vendors based on property availability and guest schedules
- Oversee recurring services, including monthly pest control and bi-annual HVAC maintenance
- Coordinate with pool technicians to ensure pools are clean, operational, and guest-ready at all times
Guest Experience & Escalation Management
- Respond to escalated guest concerns promptly and professionally
- Proactively communicate with guests to resolve issues and maintain a high level of satisfaction
- Serve as a point of contact for urgent or complex situations requiring immediate attention
Operational Support & On-Call Responsibilities
- Provide on-call support to address time-sensitive issues across the property portfolio, such as guest issues/complaints and urgent maintenance items
- Monitor and manage pool heating systems remotely and daily, ensuring activation prior to guest check-in and deactivation after checkout
- Review guest communications to anticipate needs (e.g., pool heating requests) and act accordingly
Inventory & Supplies Management
- Coordinate propane tank replacements using the remote delivery platform and accurately log transactions in the property management system
- Track and maintain inventory levels for property essentials and guest-use items
New Property Onboarding & Systems Setup
- Lead the setup and launch of new properties, ensuring readiness for first guests
- Create and optimize listings on platforms such as Airbnb and Vrbo
- Integrate listings with our property management software, cleaning software, and dynamic pricing tools
- Ensure all operational systems, automations, and vendor relationships are established prior to launch
Qualifications
- Proven experience in property management, hospitality, operations, or a related field (short-term rental experience preferred)
- Strong organizational and time management skills with the ability to handle multiple properties and tasks simultaneously
- Highly responsive and dependable with the ability to be on-call and manage time-sensitive issues independently
- Excellent communication skills (written and verbal) for interacting with guests, vendors, and team members
- Experience coordinating vendors and managing maintenance or service requests
- Tech-savvy and comfortable using property management systems, messaging platforms, and mobile apps
- Strong problem-solving skills with the ability to think critically and act quickly under pressure
- High attention to detail with a commitment to maintaining property quality and guest satisfaction
- Ability to work independently and take full ownership of responsibilities without constant oversight
- Reliable transportation and ability to travel between properties in the St. Pete/Largo area
- Willingness to work a flexible schedule, including evenings, weekends, and holidays as needed
Pay: From $50,000.00 per year
