Job Overview

We are seeking a detail-oriented and organized Surgery Scheduling Assistant to join our growing orthopedic team. In this role, you will provide administrative support for the surgical scheduling process, ensuring all documentation, clearances, and preoperative requirements are completed accurately and on time. The ideal candidate thrives in a fast-paced healthcare environment, communicates effectively with patients and medical professionals, and is committed to helping create a seamless surgical experience for our patients.

Duties and Responsibilities

  • Prepare and submit surgical booking forms, hospital orders, and required documentation to hospitals and surgical facilities.
  • Track submitted orders and confirm receipt, following up on outstanding items to prevent scheduling delays.
  • Request and obtain medical, cardiac, and specialty clearances as required for surgery.
  • Monitor clearance status and proactively follow up with provider offices and patients to ensure timely completion.
  • Review received clearances and documentation for accuracy and completeness.
  • Support surgery schedulers with case preparation, workflow coordination, and documentation management.
  • Maintain accurate patient records, tracking logs, and scheduling spreadsheets.
  • Scan, upload, and organize required documentation and prior authorization support materials.
  • Serve as a liaison between patients, physician offices, hospitals, surgery schedulers, and ancillary providers.
  • Communicate updates, obtain missing information, and help resolve documentation issues to keep cases moving forward.
  • Maintain patient confidentiality and HIPAA compliance.
  • Perform additional duties as assigned to support surgical scheduling operations.

Qualifications and Skills

  • High school diploma or GED required.
  • Healthcare, medical office, scheduling, or administrative experience preferred.
  • Knowledge of medical terminology, particularly orthopedic, surgical, and preoperative terminology, preferred.
  • Proficiency with EMR/EHR systems and Microsoft Office applications.
  • Excellent organizational skills and strong attention to detail.
  • Strong verbal and written communication skills.
  • Ability to manage multiple tasks and priorities in a fast-paced, deadline-driven environment.
  • Professional, patient-focused mindset with exceptional customer service skills.
  • Ability to work effectively both independently and as part of a team.

Salary : $39,057 - $48,345
