Property Care Lead
Reports to: Maintenance ManagerDepartment: Maintenance/OperationsLocation: Emerald Isle, NC
Position Overview
The Property Care Lead serves as the bridge between homeowners, the maintenance team, and guest services. This role ensures every property in the Sun-Surf Realty portfolio receives timely, high-quality care while maintaining clear communication, accurate billing, and efficient coordination of maintenance and procurement activities.
The ideal candidate is detail-oriented, solution-driven, and capable of operating confidently in a fast-paced environment—even when formal SOPs do not yet exist. This person will help identify gaps, build structure, and assist in developing new processes in alignment with Sun-Surf policies and standards.
Key ResponsibilitiesProperty Coordination & Oversight
- Oversee daily maintenance task assignments and follow up on work order completion.
- Track open and pending work orders to ensure timely updates and maintain strong “work order health” for accurate owner statements.
- Support maintenance scheduling, dispatching, and prioritization of urgent repairs or guest issues.
- Ensure completed work meets Sun-Surf Realty quality and brand standards.
Homeowner & Guest Services Collaboration
- Serve as a key point of contact for homeowner inquiries related to maintenance, billing, and property updates.
- Communicate status updates clearly and proactively to homeowners, internal teams, and vendors.
- Partner with Guest Services to ensure guest issues are resolved efficiently and follow-up communication is documented.
Procurement & Purchasing
- Manage ordering and procurement of materials, parts, and supplies for both maintenance needs and company operations.
- Maintain vendor relationships and negotiate pricing when appropriate.
- Track inventory, create purchase orders, and ensure accurate coding for accounting.
Billing & Administration
- Review and approve maintenance invoices for accuracy prior to owner billing.
- Ensure labor, materials, and markups are properly reflected in the PMS/work order system.
- Collaborate with accounting to align maintenance activities with monthly owner statements.
Process Improvement & SOP Development
- Operate effectively in areas where established procedures may not yet exist.
- Identify workflow inefficiencies or gaps and collaborate with management to design and document new SOPs in accordance with Sun-Surf policies.
- Maintain and refine existing procedures to improve clarity, accountability, and departmental communication.
Team Support
- Provide daily support and direction to maintenance technicians, ensuring accountability and communication flow.
- Assist in onboarding and training new maintenance staff on workflow, standards, and systems.
- Serve as backup to the Maintenance Manager during absences or peak periods.
Qualifications
- 3 years of experience in property management, hospitality, or maintenance coordination.
- Strong organizational and multitasking skills with attention to detail.
- Excellent written and verbal communication skills.
- Familiarity with property management systems (VRM, Breezeway, Track, etc.) preferred.
- Proficient in Microsoft Office, Google Workspace, and task management tools.
- Strong sense of ownership, accountability, and follow-through.

Job Type: Full-time
Pay: $30,000.00 - $40,000.00 per year
