We're looking for a highly organized, detail-oriented Office Assistant to support a busy real estate investor and hotel operator with both business and personal affairs. This is a varied, hands-on role for someone who genuinely enjoys bringing order to a full plate. No two days will look exactly alike, and that's the appeal.
You'll help manage paperwork and filing across a portfolio of properties and a small hospitality business, while also supporting personal matters, including checking in with my parents and coordinating with their care manager as needed. (Day-to-day medical management, medications, and pharmacy coordination are handled by a separate care team; this role is more about staying connected and being a helpful point of contact.)
The role also touches the day-to-day operating side of the business: coordinating with hotel staff, the property management office, and attorneys; paying bills; ordering supplies and inventory; and handling whatever else comes up in a given week. This is a role that grows and shifts, you should be comfortable with a job description that isn't fixed in stone.
This role suits someone who is calm under a full workload, comfortable switching between tasks, and takes real satisfaction in keeping things and people well taken care of.
What You'll Do
- Organize, file, and maintain business and personal paperwork (contracts, invoices, correspondence, records)
- Track and manage business and personal calendars
- Coordinate with hotel employees, the property management office, and attorneys on various matters
- Check in with my parents and coordinate with their care manager as needed
- Pay bills and help track expenses across properties and household
- Order inventory and supplies as needed
- Assist with light administrative tasks across property management and hotel operations (vendor follow-ups, document prep, correspondence)
- Help prioritize and track an ever-changing to-do list across multiple areas of responsibility
- Run occasional errands or coordinate with outside vendors/providers as needed
- Bring structure and systems to a busy, multi-hat household and business operation
- Take on new or unexpected tasks as they come up. This role has range, and flexibility matters more than a fixed job description
