Sumter County is Currently Seeking a Clerk II for Probate Court
Compensation: Starting Salary $25,000 annually.

Position Summary
The Clerk II provides clerical and administrative support for the Probate Court by processing court documents, maintaining case files, assisting customers, and ensuring the accurate administration of Probate Court records. This position works closely with judges, attorneys, public officials, and members of the public to support the efficient operation of the Court while delivering courteous and professional customer service. Reports to the Probate Court Judge.

Essential Duties & Responsibilities
  • Process, file, index, and maintain Probate Court documents and official case records.
  • Open and close court cases while ensuring all required documentation is accurate and complete.
  • Enter and retrieve case information using computerized record systems.
  • Accept marriage license applications, prepare licenses, and maintain related records.
  • Calculate probate fees, prepare billing statements, and process court-related financial transactions.
  • Prepare correspondence, reports, court orders, petitions, notices, and other official documents.
  • Answer telephone calls and assist attorneys, public officials, and members of the public with general inquiries.
  • Maintain organized case files and ensure compliance with Probate Court procedures.
  • Operate standard office equipment and perform related administrative duties as assigned.
Minimum Qualifications
  • High school diploma or GED required.
  • One (1) to two (2) years of general clerical or administrative experience preferred, or an equivalent combination of education, training, and experience.
  • Experience working in a legal, judicial, or government office is helpful but not required.
Knowledge, Skills & Abilities
  • Knowledge of Probate Court procedures, office practices, and applicable laws and regulations.
  • Strong organizational skills with the ability to prioritize multiple assignments and meet deadlines.
  • Excellent verbal and written communication skills.
  • Ability to maintain accurate records and prepare official documents with attention to detail.
  • Proficiency with computers and standard office software.
  • Ability to interpret probate forms, court records, financial documents, and legal information.
  • Ability to exercise sound judgment, maintain confidentiality, and work independently.
  • Ability to establish and maintain effective working relationships with judges, attorneys, County staff, and the public while providing exceptional customer service.
Physical Requirements
  • Ability to sit for extended periods while performing computer and clerical work.
  • Ability to operate standard office equipment, including computers and other office machines.
  • Ability to lift and carry up to 10 pounds occasionally.
  • Ability to perform repetitive hand and arm movements associated with office work.

Work Environment
This position is primarily performed in an office environment within the Probate Court. The work involves frequent interaction with judges, attorneys, law enforcement personnel, public officials, mental health professionals, and members of the public. The position requires maintaining professionalism, confidentiality, and accuracy in a fast-paced legal environment.
