The Opportunity
Sumsion Real Estate is a boutique brokerage built around luxury residential, new construction, land development, and commercial real estate across Utah. We're growing and looking to add operational horsepower.
We're looking for a highly organized, proactive Executive Assistant to run point on day-to-day operations, transaction coordination, and marketing execution. You'll be trusted to own processes, anticipate what's next, and help build the systems that let this brokerage scale.
Real estate experience is a plus but not required. Applicants for this role can come from outside the industry: if you're currently coordinating complex, deadline-driven work for clients who are anxious about money and timing, you have the foundation. What matters more than a real estate background is that you're sharp, dependable, and genuinely excited to learn the business from the inside.
What You'll Actually Do
Executive & Administrative Support
- Manage owners' calendars, appointments, and scheduling across showings, closings, and meetings
- Monitor and triage email and client communications, keeping everything moving and nothing unanswered
- Maintain and organize client and transaction databases (Notion, GoHighLevel CRM, Sisu)
- Prioritize daily tasks and keep deadlines
- Prepare buyer and seller appointment packets and other client-facing documents
Transaction Coordination
- Track contracts, deadlines, and required documents from execution to closing using Sisu software
- Coordinate with lenders, title companies, inspectors, and other agents to keep transactions moving
- Draft and organize comparative market analyses (CMAs) and property research
- Maintain accurate, up-to-date files for every active transaction
Buyer Support
- Schedule and coordinate property showings
- Research properties and gather relevant information for buyers
- Prepare polished property books and materials for buyer meetings
- Set up and maintain customized property searches based on buyer needs
Listing & New Construction Support
- Research new and prospective listings, including property details, title, and other relevant documentation
- Assist with preparing necessary documents and materials for new listings
- Coordinate photography, signage, and listing launch logistics
- Draft listing descriptions and introductory communications for broker review
- Enter and manage listings in the MLS, ensuring all information are accurate and documents are complete
- Ensure listings are published and displaying correctly on relevant third-party websites
- Prepare weekly listing updates, showing activity, and client feedback summaries
- Support new construction walkthroughs, including feature placards and buyer-facing materials
- Help plan and staff open houses
Marketing Support
- Create and coordinate marketing materials for listings: social media graphics, print collateral, and video coordination
- Assist with social media scheduling and content for active listings and brokerage branding
- Collaborate on email newsletters and other client-facing communications
- Upload and organize property videos across relevant platforms
- Develop individual property marketing plans and help execute strategies for each listing
- Coordinate listing placements in relevant print and digital publications
- Support event planning and promotion for open houses and community events

Why This Role
This is a opportunity to take point on operations of a growing brokerage. You'll get hands-on exposure to contracts, marketing, negotiations, and operations.
This is not a stepping stone to becoming a producing agent. We're hiring someone to own operations long-term, and we intend for growth into a senior role over time.
Compensation & Benefits
- $65,000–$75,000 per year, based on experience.
