About the Role
Summit Sotheby’s is experiencing exceptional growth and increased demand across its
development real estate portfolio. With a small but highly talented team (Sales
Lead, Marketing Lead, Project Manager), the organization is bringing in more business than
current internal operations can support.
We are seeking a Director of Operations to build the systems, structure, financial discipline,
and operational backbone that will allow the team to scale, elevate client service, and
execute at the level expected of a top luxury real estate brand. This person will shift the
department from reactive to strategic — ensuring the team is set up for long-term success,
not just keeping up with demand.
Key Responsibilities
Operational Leadership & Scalability
- Design, implement, and optimize operational systems, workflows, and processes that allow the developments team to scale efficiently.
- Create a unified operational playbook that optimizes and builds on existing framework, covering listings, marketing, sales, client handoffs, and cross-team coordination.
- Identify and eliminate operational bottlenecks, building a proactive structure that supports sustained, predictable growth.
- Establish KPIs, reporting rhythms, and performance dashboards across development projects and functional areas.
Financial Management & Oversight
- Oversee budgeting, forecasting, and financial planning for the developments division.
- Manage P&L for active and upcoming projects, ensuring financial visibility, accuracy, and alignment with business goals.
- Track and optimize operational spending, vendor contracts, and project-level financial performance.
- Provide leadership with regular reporting on costs, revenue projections, margin analysis, and resource allocation.
Team & Cross - Functional Management
- Work in collaboration with the department head to support the existing team while expanding the team structure as needed.
- Strengthen cross-department alignment, brokerage leadership, marketing, agents, developers, third-party partners, ensuring seamless handoffs and communication.
- Mentor team members and instill a culture of accountability, efficiency, and premium client service.
Project & Process Management
- Build standardized processes for new developments—from intake to launch to active
- sales to close-out.
Oversee timelines, task management systems, workback schedules, and operational workflows for marketing, listings, campaigns, events, and client communications. - Ensure every development project is executed on time, within budget, and with consistent operational excellence.
- Implement SOPs for transaction flow, marketing requests, agent coordination, and internal/external communications.
Client Experience & Service Excellence
- Establish a luxury-level service model that elevates the experience of developers, buyers, sellers, partners, and internal teams.
- Build consistency in managing high-volume inquiries, follow-up, and client touchpoints across projects.
Technology, Tools & Systems
- Assess, optimize, and manage project management platforms and marketing workflow tools.
- Develop best-in-class tech stack focused on organizational data architecture and scalability.
- Implement performance dashboards, reporting structures, and operational command centers for active and upcoming developments.
Requirements
- Demonstrated success building scalable operational systems in high-growth, multi-project environments.
- Strong financial acumen with experience managing P&L, budgeting, forecasting, and project-level financial reporting.
- Excellent organizational ability; capable of bringing structure, efficiency, and clarity to a fast-moving environment.
- Experience with project management systems (Asana, Monday, Airtable, ClickUp, etc.) and real estate CRMs.
- Strong communication, relationship management, and cross-functional leadership skills.
