At Summit Oral Surgery, we are looking for a warm, motivated, and personable individual to join our growing team as the Surgery & Treatment Coordinator. This role is more than just scheduling procedures and processing paperwork. You’ll guide patients through each step of their surgical journey– from treatment planning and financial considerations to insurance, scheduling, and ensuring they feel informed, supported, and confident along the way.

About Summit Oral Surgery
Led by board-certified oral and maxillofacial surgeons, Summit Oral Surgery practices “Connected Care” — full-scope oral and maxillofacial surgery with a personalized, whole-person approach that bridges dental and medical care. In addition to routine oral surgery procedures (such as dental implants and tooth extractions), we perform life-changing procedures including corrective jaw (orthognathic), TMJ, and sleep apnea surgery.
The Role
This is a high-touch, high-trust position. You'll be the primary point of contact from a patient’s first consultation in our office all the way through their surgery day. The primary duties of this position are to discuss treatment plans with patients, navigate insurance and pre-authorizations, and coordinate procedure scheduling with hospitals and outpatient surgery centers. The treatment coordinator will work in conjunction with the office manager to ensure the entire patient cycle is complete.
Position: Part-time, hourly, with the intention to grow into a full-time position.
Schedule: This is initially a Monday, Tuesday, and Wednesday position, not to exceed 29 hours per week.
Compensation: $25–$32/hour, based on relevant experience, education, training, and other applicable factors.
What You'll Actually Do
- Manage the pre-authorization (primarily medical insurance) process for all OMS procedures/surgeries (office based and hospital-based cases), including CPT/CDT coding, clinical documentation, insurance follow-up, and peer-to-peer coordination when needed. Prior expertise in MEDICAL insurance/coding IS REQUIRED.
- Verify medical and dental insurance eligibility and benefits, working alongside our billing team and manager.
- Meet with patients face-to-face after their consultation with the doctor, review treatment plans and cost estimates, and help patients to navigate the financial and logistical path to treatment.
- Follow up with patients who haven't scheduled their treatment yet — by phone or text. Answer any questions they might have to help the patient feel comfortable and ready to move forward with treatment.
- Learn to schedule surgeries with our hospital and ASC partners; in conjunction with our manager.
- Maintain patient confidentiality and handle protected health information in accordance with HIPAA, applicable privacy requirements, and Summit Oral Surgery policies.
- Responsible for all administrative tasks including answering phones, taking payments, routing emails, patient correspondence, provider correspondence, and referral follow ups.

We aren’t looking for a pushy salesperson, but rather someone who can build trust, understand each patient’s concerns, clearly explain treatment and financial options, and partner with the patient to make their care feel manageable and attainable. The ideal candidate is empathetic, personable, organized, and comfortable discussing the significant costs of surgery in a supportive and professional way.

- Experience is preferred. 2 years in a medical or dental surgical setting is a strong plus; high-end retail or hospitality experience is welcome too — we can teach the coding and insurance side to the right person.
- Highly organized — able to effectively manage a busy surgical schedule, coordinate multiple priorities, and ensure important details and follow-up tasks are handled accurately and on time.
- Familiarity with CPT/CDT coding, medical or dental insurance portals, and hospital OR scheduling is preferred, but not a requirement.
