Full job description:
We are seeking a highly organized and professional English/Spanish-speaking Administrative Assistant to support the daily operations of a busy office. The ideal candidate will possess strong bilingual communication skills, excellent attention to detail, and the ability to manage multiple responsibilities in a fast-paced environment.
Responsibilities:
- Provide administrative and clerical support to Department Director.
- Communicate professionally with clients in both English and Spanish, including phone calls, emails, and in-person interactions.
- Serve as a liaison between the office and other organizations through written and verbal communication as needed.
- Assist with preparation, organization, and management of documents and files.
- Coordinate scheduling and logistics related to meetings and appointments.
- Maintain accurate records, track status, and ensure files are properly organized and updated.
- Conduct online research and assist with gathering information required as needed.
- Perform general administrative duties such as document preparation, scanning, filing, and correspondence.
Qualifications:
- Fluency in both English and Spanish (spoken and written) is required.
- Strong interpersonal and communication skills with the ability to interact professionally.
- Ability to work independently, manage multiple tasks, and meet deadlines in a high-pressure environment.
- High level of attention to detail and strong organizational skills.
- LHCSA experience is preferred but not required; training will be provided for the right candidate.
- Proficiency in Microsoft Word and Outlook, internet research, and intermediate to advanced skills in Microsoft Excel.
- Professional demeanor and strong work ethic.
- Ability to maintain strict confidentiality of information.
- Willingness to learn and develop knowledge procedures and documentation.
