About Us
Summit Financial Group is seeking highly detail-oriented, dependable Administrative Assistants to support our fast-paced tax office during the 2026 tax season. This role is ideal for individuals who thrive in high-volume environments, enjoy working as part of a team, and take pride in accuracy, organization, and exceptional client service.
Position Purpose
Administrative Assistants provide front-office and administrative support during our busiest season. This is a high-volume, deadline-driven position that requires strong multitasking skills, consistent accuracy, initiative, and excellent written, telephone, and interpersonal communication skills.
Essential Functions & Responsibilities
Duties include, but are not limited to:
- Serve as a primary point of contact for clients via phone, email, fax, and in person
- Greet clients upon arrival and provide a professional, welcoming experience
- Handle incoming inquiries and accurately document and relay messages
- Accept and record payments (credit card, check, and cash)
- Perform extensive data entry, file tracking, and CRM documentation
- Maintain and update multiple databases and client records
- Send forms for e-signature via Lacerte and Docusign
- Send invoices and process payments through QuickBooks Online
- Schedule and manage in-office and virtual appointments (Microsoft Teams)
- Organize and properly route client files and documents
- Collect, distribute, and track incoming mail and packages
- Assist with general office upkeep, including reception, conference rooms, coffee, and kitchen areas

Required Qualifications
- Ability to efficiently and accurately perform all essential duties
- Advanced computer proficiency, including Microsoft Word and Outlook
- Prior office, reception, or phone-based customer service experience
- Previous CRM software experience
- Strong data entry and appointment scheduling experience
- Experience using Microsoft Teams
- Excellent verbal and written communication skills
- Strong problem-solving abilities
- Professional appearance and attire at all times
- High School diploma or GED
Preferred Qualifications
- Familiarity with Salesforce
- Familiarity with SmartVault
- Familiarity with QuickBooks Online
- Familiarity with Lacerte
- Familiarity with Docusign
- Familiarity with Microsoft Teams
- Experience working with tax preparation or financial services professionals
