Description
This role provides critical administrative and clerical support to ensure the smooth, professional, and efficient operation of the department. The ideal candidate is a highly organized individual with the ability to multitask in a public-facing environment. The Bilingual Administrative Assistant serves as the front desk lead for the Public Health department.
Examples of Duties
Some Key Responsibilities:
Communication: Create and distribute written correspondence, including memos, letters, and emails. Provide English and Spanish translations for documents and communications as needed.- Supply and inventory management: Order and inventory office and program supplies and ensure the department is well stocked.
- Purchasing and financial support: Track the department's use of purchasing cards and vehicles by collecting, verifying, and scanning receipts.
- Website maintenance: Ensure the department's website is up to date with current information, resources, and events.
- Meeting and event support: Assist with planning and scheduling events, preparing meeting minutes, and coordinating staff coverage for front desk, events and activities.
- Confidentiality: Handle sensitive and confidential information with discretion, in compliance with HIPAA.
- Program coordination: Coordinate the Reach Out and Read program and other initiatives, events, and trainings.
- Administrative leadership: Serve as the front desk lead, training new support staff, covering reception desk as needed. Participate in personnel selection, make recommendations on hiring, disciplinary action and assist with preparation of performance evaluations.
Typical Qualifications
MINIMUM QUALIFICATIONS:
Bilingual English/Spanish required. Prior administrative support experience, MS Office proficiency and valid driver’s license are required. Experience in public health programming is preferred. Knowledge of community resources is helpful. Generally sedentary at a desk, exerting up to 10 - 20 pounds to lift, carry, push, pull or move objects. Less frequent off-site and outdoor events may require lifting, pushing or pulling up to 50 pounds.
EDUCATION, EXPERIENCE, AND FORMAL TRAINING:
At least three years’ experience in office administration.
