JOB SUMMARY:
The Property Coordinator will support the Property Manager in overseeing an expanding portfolio of leases driven by the company’s aggressive acquisition strategy. This role will help ensure a more seamless integration of acquired properties in the department, while reducing the risk for delays, errors, and a drop in operational efficiency. This is an in-office position with typical hours expected to be 8:00 a.m. – 5:00 p.m. CT.
ESSENTIAL JOB DUTIES:
- ACQUISITIONS
- Pre-Close assistance to Property Manager with integration task review for the Property Department
- Lease terms comparison
- Ordering inspections
- Document tracking
- Insurance requirements
- Post-Close assistance to Property Manager in streamlining the post-close integration process.
- Utility account set-up and transition to A/P for third-party payment.
- Direct rent payments monthly cadence submitted to Property Manager for final review & submission.
- Vendor set-up for acquisition accounts.
- Pre-Close assistance to Property Manager with integration task review for the Property Department
- BROKERAGE/LEASING
- Assist Property Manager Working with Landlords:
- Remittance updates.
- Utilities reimbursements.
- Repairs requests.
- Work with Brokers:
- Attend portfolio calls to remain abreast of upcoming changes to the property landscape.
- Comps requests
- Assist Property Manager Working with Landlords:
- PROJECT MANAGEMENT
- Attend Project calls & assist with the maintenance of project files, drawings, pictures, etc.
- Assist Property Manager with project financials, tracking budget vs. actuals, obtaining project numbers, onboarding contractors.
- PAYMENTS
- Assist with generation of payments submitted to Property Manager for review & submission:
- Utility reimbursements.
- Direct rents.
- Property tax.
- Assist with generation of payments submitted to Property Manager for review & submission:
- ORGANIZATION
- Assist property manager with the indexing of Property Drive Files & maintain synchronization between Summit Files and the Lease Administration Portfolio
- Updates to Property Drive Files per the new Company & Service Territory Codes
- Other duties may be assigned.
QUALIFICATIONS
The qualifications listed below are representative of the elements required to perform the job successfully, however in some cases, an equivalent combination of Education, Training, Certifications and Experience may meet the job qualifications.
Education, Training, Certifications:
- Some college, required. Degree preferred.
Experience, Knowledge, Skill Requirements:
- 5 years of administrative experience required, preferably in project management, property management, facilities, or real estate.
Communication Skills:
- Must have the ability to effectively read, write and communicate in English with employees and customers.
- Must be comfortable in “on-camera” settings via Zoom, Microsoft Teams, Google Meet, etc., and be as comfortable with phone communication as with text or email.
Systems and Software Skills:
- Proficiency in Microsoft Office, required.
- Proficiency in Adobe Acrobat, required.
Other Qualifications:
- Valid driver’s license with acceptable driving record required.
- Must be able to comply with SFPH’s Drug and Alcohol policy and Background screening requirements, which may also include customer specific requirements based on contractual agreement.
- Occasional travel required, up to 20%.

Employee will consistently be required to work indoors in an office setting, work alone and with others.Office settings are mild to moderate temperatures.
