Executive Assistant

About the Role
The Executive Assistant provides high‑level administrative and strategic support to the company’s senior leaders. This role will ensure the efficient operation of the executive office in a fast‑paced, dynamic corporate environment and act as a key liaison between internal teams, external stakeholders including the Board of Directors, and senior leadership. The position requires exceptional organizational skills, sound judgment, discretion, and the ability to manage multiple priorities with confidence and professionalism.

Executive & Administrative Support
- Providing high‑level administrative support to ensure smooth day‑to‑day operations
- Managing complex calendars and schedules, including meetings, appointments, and travel
- Proactively resolving scheduling conflicts and prioritizing competing requests
- Managing email inboxes and correspondence with professionalism and discretion
Communication & Correspondence
- Serving as the primary point of contact for internal and external communications on behalf of senior leaders
- Drafting, reviewing, and editing correspondence, presentations, and reports
- Screening and directing phone calls, emails, and inquiries with sound judgment
Meeting & Event Coordination
- Organizing and preparing materials for meetings, presentations, and events
- Attending meetings, taking minutes, and tracking action items as needed
- Coordinating logistics for internal and external meetings, including Board of Directors meetings, as well as offsites and special events
Project & Task Management
- Assisting with project tracking and follow‑up on deliverables
- Ensuring deadlines are met and priorities are aligned
- Conducting research and compiling data for reports and presentations
Travel & Expense Management
- Coordinating and managing complex domestic and international travel arrangements
- Preparing and processing expense reports accurately and in a timely manner
Confidentiality & Discretion
- Handling highly sensitive and confidential information with the utmost integrity
- Exercising sound judgment in all interactions and communications
Additional Support
- Supporting ad hoc projects and special initiatives as assigned
About You
- Minimum of 5 years of experience supporting senior executives in a corporate environment
- Proven ability to work independently while collaborating effectively as part of a team
- High level of professionalism, discretion, and integrity
- Exceptional organizational, time‑management, and prioritization skills
- Strong written and verbal communication skills
- Strong attention to detail with excellent problem‑solving abilities
- Demonstrated ability to manage multiple priorities in a fast‑paced environment
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Experience with virtual meeting platforms (Zoom, Teams, Slack) and collaboration tools
