DEFINITION Under the direction of the Director of Fiscal Services, performs clerical, technical, and administrative support duties in support of purchasing functions such as requisitions, orders, vendors, inventory control, and record keeping; responsible for monitoring the District’s compliance with California Uniform Public Construction Accounting Act (CUPCCA); registering vendors in the California Department of Industrial Relations, assure purchasing and other assigned functions comply with established District, State and Federal standards, requirements, laws, codes and regulations. CLASS CHARACTERISTICS This one-position class serves as a purchasing assistant requiring knowledge and abilities associated with purchasing supplies, services, materials, and/or equipment for the District. The ability to pre-screen vendors for price and service performance, analyze inventory trends. EXAMPLES OF DUTIES The tasks listed in this section are representative of duties assigned to positions in this class. Investigate sources of supply, interview vendors, and analyze prices and market trends to determine best source of supply; purchase supplies and materials, buyouts, equipment, supplies, and parts. Obtain quotations by telephone, email, letter, and personal contact. Interview sales representatives and discuss specifications, materials and pricing with District Personnel. Analyze incoming purchase requisitions for completeness, accuracy, and compliance with purchasing requirements and district policy; process purchase orders; determine priority of requisitions, trace missing deliveries and research new products; follow up on purchases to obtain timely delivery.
