What are the responsibilities and job description for the Clerk position at Sullivan County Regional Health Department?
Work Environment: Requires prolonged sitting or standing, and occasional stooping, bending and reaching. Must work in a busy office environment with ability to perform skills such as computer, telephone, copiers and calculator. May require travel. Hearing ability sufficient enough to communicate with others effectively in person or over phone. Visual ability must be sufficient enough to read typewritten documents, computer screen and drive a car. Exert 30 pounds of force occasionally, and/or a negligible amount of force consistently to move objects.
Duties/Responsibilities:
§ Answers phone promptly and courteously; provides accurate information and appropriately routes all calls and messages.
§ Informs and educates clients of any visit requirements, such as proof of income, insurance card and/or medical records needed for service.
§ Schedules all appointments and follows up on appointments to increase show rate.
§ Registers participants accurately by accumulating all necessary proofs and documentation for computer entry and check out.
§ Fills out, processes and codes forms completely, legibly and accurately. Forms are distributed correctly and accurate records are kept of forms being processed.
§ Enters encounters into PTBMIS system accurately.
§ Accurately formats/ files/ retrieves all medical records. Maintains chart format. Merges and purges records according to protocol in compliance with local, state and federal guidelines.
§ Maintains office equipment and a neat, clean, and well-organized work area.
§ Maintains efficient client flow.
§ Covers work for others during breaks or their absence; maintaining skills learned during cross training.
§ Post payments accurately.
§ Maintains deposit and cash drawer as assigned.
§ Performs duties of Deputy Registrar/Local Registrar as assigned.
§ Reviews and processes applications for birth certificates, cremations and burial transit permits as assigned.
§ Monitors and orders office supplies as needed according to established guidelines.
§ Maintains & enters TNWIC encounters as assigned.
§ Must be available to respond to public health emergencies and disasters.
§ Maintain updated alerting profile in Tennessee Health Alerting Network (TnHAN) and respond appropriately to all alerts.
§ Demonstrates a team-oriented effort in operation and growth of SCRHD.
§ Completes all required trainings.
§ Adheres to all Sullivan County employment policies.
§ Performs any other duties as assigned by supervisor.
Qualifications/ Skills/ Abilities:
§ High School Diploma/ GED
§ At least 2 years of experience in an office setting or in a medical setting
§ Proficient in Microsoft Office and other computer programs
§ Preferred for candidates to have knowledge of trauma, the Adverse Childhood Experiences study (ACEs) resilience and the effect of trauma on individuals.
