Studio Balestra is a Los Angeles-based furniture gallery and interior design studio specializing in collectible vintage pieces, custom furniture, antiques, and contemporary design. We work closely with leading interior designers, architects, developers, and private collectors on residential and commercial projects throughout the United States and internationally.
We are looking for an exceptionally organized, proactive, and detail-oriented individual to become a key part of our growing team.
This is not an interior design position. It is a fast-paced operations, sales support, and client services role that requires excellent organization, communication, and multitasking skills.
Position Overview:
The Showroom & Client Services Coordinator is responsible for keeping the gallery operating efficiently every day.
This role requires someone who enjoys juggling multiple priorities simultaneously while maintaining a very high level of accuracy.
The ideal candidate is naturally organized, responds quickly, takes initiative, solves problems independently, and thrives in a fast-moving environment.
We are ideally seeking someone with previous experience working in a high-end furniture gallery, luxury showroom, interior design studio, or similar business in Los Angeles.
PRIMARY RESPONSABILITIES
- Manage daily client email correspondence
- Respond promptly to client inquiries
- Coordinate follow-ups with designers, architects, and collectors
- Welcome visitors to the gallery and provide a professional client experience
- Assist clients during showroom visits
- Prepare quotations and sales proposals
- Coordinate invoices, payments, memos, and client documentation
Sales & Custom Orders
- Coordinate all custom furniture orders from production through delivery
- Track production timelines and vendor updates
- Follow up with manufacturers regarding lead times
- Ensure all order details remain accurate throughout the process
- Monitor outstanding client approvals and deposits
Inventory & Operations
- Manage Airtable databases daily
- Track inventory availability
- Maintain accurate pricing
- Update inventory status
- Organize incoming acquisitions
- Track sold inventory
- Maintain detailed product records
Shipping & Logistics
- Coordinate incoming domestic and international shipments
- Schedule deliveries and pickups
- Work closely with freight companies, vendors, installers, and receiving warehouses
- Track shipments from purchase through final delivery
- Ensure clients receive timely shipment updates
Product Management
- Upload new inventory to online platforms
- Prepare product descriptions
- Organize photography and product information
- Maintain accurate dimensions, pricing, provenance, and inventory records
- Assist in maintaining our online inventory
Sourcing
- Research new furniture, antiques, lighting, art, and decorative objects
- Source new vendors and manufacturers
- Assist with purchasing opportunities
- Build relationships with industry vendors
Administrative Support
- Maintain organized digital records
- Assist with presentations and spreadsheets
- Coordinate internal schedules
- Support daily showroom operations
- Help ensure projects stay organized and on schedule
QUALIFICATIONS:
Required:
- Bachelor's degree or equivalent professional experience
- Full-time availability (Monday–Friday)
- Must work from our Los Angeles showroom (this is not a remote position)
- Reliable transportation
- Excellent written and verbal communication skills
- Strong proficiency with Microsoft Office and Google Workspace
- Comfortable learning and managing Airtable
- Highly organized with exceptional attention to detail
- Ability to manage multiple projects simultaneously
- Self-motivated with strong problem-solving skills
Strongly Preferred
- Previous experience working in a luxury furniture gallery
- Experience within the interior design industry
- Experience with custom furniture production
- Knowledge of antiques and collectible design
- Experience coordinating logistics and shipments
- Previous experience working with designers and trade clients
- Familiarity with inventory management systems

Compensation:
