Position Overview
The Patient Coordinator is responsible for creating a welcoming environment, supporting families throughout their visit, and ensuring that front-office operations run smoothly and efficiently. The ideal candidate is upbeat, dependable, attentive to detail, and able to provide exceptional service in a busy pediatric setting.
Key Responsibilities
- Warmly welcome patients and families upon arrival.
- Create a positive, caring, and engaging experience for every child and parent.
- Answer telephone calls, text messages, and emails in a friendly and professional manner.
- Schedule and confirm appointments while maintaining an efficient patient schedule.
- Assist families with registration forms, insurance information, and general questions.
- Verify patient information and ensure records are accurate and complete.
- Clearly explain office policies, appointment expectations, and financial responsibilities.
- Collect and process patient payments.
- Coordinate communication between patients, parents, clinical team members, and doctors.
- Help families feel comfortable when they are nervous, frustrated, or uncertain.
- Monitor the reception area and help maintain a clean, organized, and welcoming environment.
- Follow up with families regarding appointments, treatment, or outstanding information.
- Protect patient confidentiality and follow all HIPAA requirements.
- Support other administrative and front-office duties as needed
Qualifications
- Previous dental experience is required.
- Pediatric dental experience is a plus but not required.
- Excellent communication and interpersonal skills.
- A warm, friendly, and professional personality.
- Strong organizational skills and attention to detail.
- Ability to multitask and remain calm in a busy environment.
- Dependable, punctual, and committed to being a supportive team member.
- Comfortable using computers, scheduling software, email, and telephone systems.
