Title:
Project Coordinator, Paving
Primary Function:
Responsible for supporting and coordinating projects through all phases, from initial evaluation and design to construction and warranty review. This role involves maintaining communication with clients and team members, preparing project documentation, monitoring budgets and schedules, and ensuring work meets company standards and quality expectations.
Reports To:
Paving Business Unit Leader
Responsibilities:
· Participate in ongoing professional and technical training to build skills and stay current with industry standards
· Assist the business development team with project data, site information, and cost breakdowns
· Maintain organized project files and documentation
· Manage workload efficiently and complete assignments accurately and on time
· Monitor project scope, staffing needs, budgets, and timelines to keep projects on track
· Serve as a key point of contact between clients, owners, and internal teams to ensure clear communication
· Review project changes, contractor invoices, and coordinate billing details with leadership
· Use AutoCAD to prepare and update drawings, including site plans, details, and material quantities
Phase 1 – Evaluation
· Assist with early project evaluations, including site visits and schematic drawings
· Document existing site conditions and organize photo reports
· Participate in client interviews to clarify goals and project needs
· Support the development of preliminary project budgets and evaluation reports
Phase 2 – Design Development
· Prepare and distribute design development materials and letters
· Help refine system designs and material selections
· Collaborate closely with clients and team members throughout the design process
· Establish and track project budgets and timelines
Phase 3 – Construction Documents
· Help coordinate and compile project specifications and manuals
· Customize and assemble standard and guide specifications for individual projects
Phase 4 – Bidding
· Distribute bidding documents and coordinate addenda
· Support and attend pre-bid meetings
· Review and organize contractor bids for evaluation
Phase 5 – Construction Review & Administration
· Conduct or assist with site visits and progress reviews
· Prepare field reports, progress summaries, and photo documentation
· Coordinate pre-construction and progress meetings
· Track project budgets, schedules, and documentation
· Review pay applications, change orders, and other construction documents
· Maintain regular communication with clients and project partners
· Support close-out procedures, client evaluations, and post-construction reviews
Phase 6 – Warranty Audit Program
· Compile Warranty Audit Program (WAP) reports
· Monitor maintenance work and warranty-related projects
Job Type: Full-time
Pay: $50,000.00 - $60,000.00 per year
