Who You Are
The Structured Finance Association (SFA) is seeking a highly organized, proactive, and detail-oriented Business Support Specialist to support the organization’s day-to-day administrative and office coordination activities. This role is an important operational support position within a collaborative, fast-paced team environment and serves as a central resource for internal coordination, workplace management, technology logistics, and administrative support.
The ideal candidate is adaptable, service-oriented, resourceful, and comfortable managing a wide variety of responsibilities simultaneously. This position requires strong organizational skills, sound judgment, professionalism, and the ability to proactively solve problems and keep day-to-day operations running smoothly.
The Business Support Specialist reports to the Head of Finance & Administration and works closely with SFA’s executive leadership and broader staff team.

Business & Administrative Support
- Prepare and submit expense reports for executive leadership
- Assist with scheduling meetings and coordinating logistics as needed
- Support conference registration inquiries by responding to attendee emails and gathering required information
- Assist with Salesforce data maintenance, including adding and updating contacts and maintaining accurate records
- Assist with subscription and user access management across various organizational platforms and systems
- Deposit incoming checks and assist with general administrative processing
- Support shared operational and administrative initiatives across departments as needed
Office & Workplace Coordination
- Serve as a primary liaison between SFA and building management
- Coordinate office maintenance requests, visitor access, freight elevator reservations, and vendor scheduling
- Greet visitors and vendors onsite and maintain a professional office environment
- Manage office inventory and supplies, including kitchen/beverage stock, printer supplies, and general workplace needs
- Coordinate deliveries, mail distribution, and package receipt notifications
- Assist with setup and coordination for internal meetings, including catering and conference room preparation
What You Bring
REQUIRED QUALIFICATIONS
- 3 years of relevant administrative, office coordination, operations support, or related experience
- Strong organizational and time management skills with the ability to manage multiple priorities simultaneously
- Excellent verbal and written communication skills
- High attention to detail and strong follow-through
- Proactive, dependable, and solution-oriented approach to work
- Ability to work independently while collaborating effectively within a small team environment
- Professionalism and discretion in handling sensitive or confidential information
- Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint
- Comfortable learning and navigating new technology platforms and systems
- Customer service mindset with a willingness to support a wide range of internal and external stakeholders
PREFERRED QUALIFICATIONS
- Experience working in a professional services, association, nonprofit, or membership organization environment
- Familiarity with Salesforce or similar CRM platforms
- Experience coordinating with external vendors and service providers
- Experience supporting office technology and workplace system
POSITION EXPECTATIONS
- This role is expected to maintain a regular in-office presence to support office operations, visitors, meetings, and team coordination
- Candidates should expect to work from SFA’s Washington, D.C. office approximately three days per week, with flexibility based on business needs
- Occasional support for early morning or evening events may be required
What We Offer
A reasonable estimate of the total compensation range for this role is $65k-$85. This range represents the company’s good-faith estimate of the range of compensation at the time of posting. The actual salary offer to the successful candidate will be based on job-related education, geographic location, training, licensure and certification, and other factors. SFA also offers a competitive benefit package including a discretionary corporate bonus program, multiple health plans, STD and LTD options, company-sponsored life insurance, paid parental leave, paid time off, and 401K matching.
