We are a small law firm focusing on family and juvenile law, seeking a Legal Administrative Coordinator to manage front-office operations and support our legal team. As the first point of contact, this role plays an important part in creating a positive and professional experience for those contacting our firm. Although some legal experience is preferred—we are willing to train the right person who is quick on their feet, highly organized, and eager to learn.
This is a full-time, in-office position, Monday through Friday.
Responsibilities include:
· Answer phones, route calls, take messages, and return calls in a professional and timely manner
- Schedule appointments with clients, attorneys, and other case-related parties
- Meet with clients in person for document drop-offs, signatures, and notarizations
- Take payments from clients using LawPay
- Handle incoming and outgoing mail; deliver items to the post office as needed
- Troubleshoot office equipment (printer/scanner) and coordinate repairs or IT assistance
- Meet with and coordinate external service providers, including pest control and shredding services
- Create, organize, and maintain client files (digital and physical)
- Collect documents from clients and upload them to client files
- Receive case-related documents (pleadings, minute entries/orders, correspondence) and upload to client files
- Calendar hearing dates on firm calendar
- Provide hearing information to clients and send hearing reminders
- Manage potential new client intakes and maintain intake files
- Assist with drafting case-related documents and e-filing court documents as needed, as you gain experience and familiarity with the role
Qualifications:
- Notary Public (or ability to obtain promptly)
- Highly organized with strong attention to detail and the ability to multitask
- Friendly and professional, with strong communication and interpersonal skills
- Ability to handle confidential and sensitive matters
- Comfortable with Microsoft Office, Adobe, document management systems, and cloud platforms (e.g., Dropbox, Google Drive), and eager to learn new software and technologies as needed
- Ability to perform the essential physical functions of the position, with or without reasonable accommodation, including sitting, standing, walking, bending, reaching, lifting and carrying up to 25 pounds for document handling and office materials, and operating standard office equipment
- Administrative or legal office experience a plus, but not required
