Purchasing Coordinator

The Purchasing Coordinator will work closely with the Supply Chain team to support duties including managing inventory, monitoring stock levels, tracking purchase orders, resolving order, and invoice discrepancy. They also research new suppliers, obtain quotes, and maintain vendor relationships. Additionally, they handle administrative tasks, such as updating records, cross-referencing deliveries with orders, and preparing reports on purchases and costs.

Key duties

·         Inventory and stock management: Monitor stock levels, identify purchasing needs, and fulfill requests for supplies.

·         Order processing: Track purchase orders, components and confirm delivery details and timelines with vendors and internal teams.

·         Vendor Communication & Management: Interact with suppliers to track order status, resolve shipment errors or discrepancies, and build positive relationships.

·         Record keeping: Maintain accurate records of purchases, invoices, contracts, and vendor information.

·         Delivery and receiving: Cross-reference deliveries with purchase orders, check goods for quality, and report any issues.

·         Invoice Resolution: Act as a liaison with the accounts payable department to resolve any invoice or pricing discrepancies.

·         Reporting and analysis: Prepare reports on purchases, returns, and costs. Analyze market trends to help identify cost-effective solutions.

·         Administrative support: Handle administrative tasks, such as arranging meetings with stakeholders and providing support to buyer.

Skills and Qualifications

·         Education: Associate or bachelor’s degree in business administration, supply chain, logistics, or a related field preferred.

·         Experience: A minimum of 3 years of experience in a purchasing or supply chain role is preferred.

·         Technical Skills: Proficiency in Microsoft Office, particularly Excel, Word and familiarity with any purchasing or inventory management software (e.g., ERP systems) is essential.

·         Soft Skills: Strong analytical, problem-solving, and negotiation skills are critical. The role also demands excellent organizational skills, meticulous attention to detail, and effective written and verbal communication and the ability to multitask in a fast-paced environment.

·         Industry Knowledge: A good understanding of supply chain procedures and market trends relevant to the company's industry is beneficial.
