Job Summary:
We are seeking a Clerical Assistant to support administrative and operational tasks at our commercial bakery. The ideal candidate will be detail-oriented, organized, and capable of handling multiple responsibilities, including data entry, record-keeping, customer service, and coordinating with various departments. This role ensures smooth daily operations by assisting with inventory tracking, invoicing, and scheduling.
Key Responsibilities:
- Perform data entry and maintain accurate records of orders, deliveries, and inventory.
- Organize and file invoices, purchase orders, and production schedules.
- Manage bakery-related communications, including phone calls, emails, and customer inquiries.
- Assist in scheduling deliveries, meetings, and production timelines.
- Support inventory tracking by updating stock levels of ingredients and packaging supplies.
- Prepare and distribute reports related to sales, production, and compliance documentation.
- Work with bakery staff, suppliers, and logistics teams to ensure smooth operations.
- Assist in maintaining compliance documentation for food safety and regulatory requirements.
- Handle basic bookkeeping tasks, such as invoice processing and expense tracking.
- Perform other administrative duties as assigned.
Required Skills & Qualifications:
- High school diploma or equivalent (Associate degree in Business Administration is a plus).
- 1-2 years of administrative or clerical experience (preferably in a food production or manufacturing environment).
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and experience with ERP or bakery software is a plus.
- Strong organizational and time management skills.
- Excellent verbal and written communication abilities.
- Ability to multi-task and prioritize work in a fast-paced environment.
- Basic understanding of inventory management and food safety regulations is a plus.
- Bilingual skills (Spanish/English) are a plus but not required.
