Summary
We are seeking a detail-oriented and proactive Maintenance Administrative Assistant to support our maintenance operations. The ideal candidate will have hands-on experience with field service management software, specifically Jobber or ServiceTitan, to efficiently manage scheduling, work orders, and client communications.
Key Responsibilities:
- Utilize Jobber or ServiceTitan to schedule and dispatch maintenance tasks, ensuring timely completion and optimal resource allocation.
- Maintain accurate records of maintenance activities, work orders, and client interactions within the software platform.
- Coordinate with maintenance technicians to monitor job progress and update schedules as needed.
- Communicate with clients to confirm appointments, provide updates, and address inquiries or concerns.
- Assist in generating reports and analyzing data to improve operational efficiency.
- Support administrative tasks such as invoicing, inventory management, and procurement related to maintenance operations.
Qualifications:
- High school diploma or equivalent; additional education or certifications in administration or maintenance-related fields are a plus.
- Minimum of 2 years of administrative experience in a maintenance or facilities management environment.
- Proficiency in using Jobber or ServiceTitan for scheduling, dispatching, and client communication.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both written and verbal.
- Ability to multitask and prioritize in a fast-paced environment.
